With recurring billing, the money is in what does not get invoiced: the upgrade nobody passed on, the forgotten price indexation, the contract that quietly rolled over.

The Subscription Billing Assistant compares what was agreed in the contract with what was actually invoiced, and reports the differences.

That is not an accounting check after the fact. It is a signal at the moment you can still act on it.

What it does, step by step

  1. Pull contract termsTerm, price, indexation, notice period and agreed upgrades.
  2. Compare billingWhat has actually been invoiced against what the contract says it should be.
  3. Report differencesUpgrades not invoiced, forgotten indexations, duplicate lines.
  4. Draft a billing proposalA draft for the coming period, ready to check.
  5. Flag expiring contractsWhat is ending, what renews automatically, and when someone needs to pick up the phone.

What runs automatically and what does not

You stay in control.

Not every decision should be made automatically. For each workflow, we set out:

  • What can happen automatically.
  • What is put forward for approval first.
  • When a person is brought in.
  • What information is stored.
  • How actions are logged.

Is this a fit for your organisation?

A good fit if

  • Organisations with recurring revenue from contracts or subscriptions.
  • Businesses where upgrades are agreed verbally.
  • Situations with indexation clauses that need applying every year.

Less of a fit if

  • Purely project-based invoicing with no recurring element.
  • Organisations without central contract records: that is the first step.

What it can deliver

  • Less revenue quietly slipping away.
  • Indexations applied as soon as they are allowed.
  • Earlier sight of contracts that are ending.

Directions, not promises. As soon as there is evidence from a client project, it will appear here as a substantiated result.

Frequently asked questions

How does the AI know what should be invoiced under the contract?

From your contract records. If the terms only exist in signed PDFs, it can read those, but it works better when the key terms are stored as fields. That is often the first gain of a project like this.

Can it send invoices itself?

It can, but with recurring billing we recommend having the proposal checked before it goes out. A mistake in a recurring invoice recurs too.

Does it apply price indexation automatically?

It flags that indexation can be applied and calculates what that means. The decision stays with you, because indexation is often a commercial call as well.

What if a customer calls about a difference?

Then you have the reasoning to hand: which term was applied, from which contract, and what was invoiced before.
