What is AI for installation companies?

AI for installation companies is software that takes over or prepares the admin work around a job, for installation and service companies working in heat pumps, solar panels, HVAC, electrical and plumbing. Think of turning engineers' work orders into invoice lines, assessing and scheduling fault and maintenance calls, drafting quotes and completing the paperwork for subsidies or handover. It works in the systems the company already uses, such as the scheduling package, the work order app and the ERP or accounting package. Often regular automation or an integration is enough; AI is needed where free text, photos or varying documents have to be read. At Your Tech Club a member of staff decides where it matters and every action is logged.

Built for clients including Tata Steel, M&G Investments, Digistore24, Toppers in Concert, Bar-le-Duc and Loogman

Sound familiar?

Three places in an installation or service company where work is left waiting. Not with the engineer, but between the van and the office.

The work order is done for the engineer, not for the invoice

A few words and a photo. Someone at the office has to call round to find out what was done and which materials came out of the van, and until then the invoice waits.

The schedule lives in one planner's head

Faults, maintenance and new installations come in all mixed up, by phone, email and app. Who can be where and when is something mainly the planner knows.

Quotes and paperwork slide into the evening

Every quote for a heat pump or solar panels means copying and pasting all over again. After installation, photos and details for subsidies or handover still have to be tracked down.

From work order to invoice

How do you turn work orders into invoices faster?

An engineer who has finished wants to move on to the next job. The result is a work order with a few words and a photo, and a colleague at the office who has to call round to find out what was done, how many hours it took and which materials came out of the van. Until that's sorted, no invoice goes out.

An AI employee reads the work order as it comes in, even if it's a photo or a short message. It fills in the gaps from the schedule and the materials log, books the materials out of the van stock and prepares the invoice lines according to the agreements with that customer. Anything missing, it asks the engineer for specifically. The office approves the invoice before it is sent.

  • Work order from the app, a photo or a message
  • Hours, materials and call-out charges according to the customer agreement
  • The invoice only goes out once the office approves it

Scheduling and calls

How do you schedule engineers and faults with fewer phone calls?

A fault comes in by phone, a service visit follows from a contract and a new installation has been booked for weeks. It all has to go into the same schedule, with engineers who each have different skills and customers counting on a time slot. That puzzle takes up a large part of the planner's day.

An AI employee takes the call, asks the questions that are needed and sets the urgency according to your own rules. It prepares contract maintenance in good time. It suggests an engineer and a time slot based on availability, trade and travel time, and confirms the appointment with the customer once the planner approves. The schedule itself stays in your own scheduling package.

  • Urgency according to your own rules
  • Contract maintenance prepared in good time
  • The planner approves, the package stays the same

Quotes and paperwork

Can AI prepare quotes and subsidy paperwork?

A quote for a heat pump, solar panels or air conditioning looks like the last one every time, but is made from scratch every time. Using the survey details, your own price list and previous quotes, an AI employee prepares a draft. The adviser checks it, adjusts it and sends it.

After installation the paperwork begins: photos, appliance details, invoices and signatures for a subsidy application or the handover file. Which documents are needed is set out based on the conditions of the scheme or the client. For each job, the office team sees what is complete and what is still missing, before the customer asks.

  • Draft quote from survey, price list and previous quotes
  • The adviser checks and sends
  • For each job, visible what's missing from the file

What you get from us

Not a new package alongside the one you already have, but less work between the engineer and the invoice.

Opportunity first, technology second

First we look at where the work after the job piles up and what that costs. Only then do we choose the solution.

On your own scheduling and admin

We build on the scheduling package, work order app and accounting package you already have. No second system for the engineer.

A person decides where it matters

The planner approves the schedule, the office approves the invoice and the adviser approves the quote.

Every action logged

What the AI employee read, filled in and proposed can be traced for every work order and every call.

Even when AI isn't needed

If an integration between two packages or a standard feature is enough, we build that and tell you so.

What we build stays yours

Integrations, instructions and the AI employee itself belong to you. We are model-independent, so you aren't tied to one provider.

How we start

Four steps. The details come out of the audit, because no two installation companies work the same way.

  1. 01

AI Opportunity Audit in five working days

We map the work around the job, from call to invoice, and work out what it costs now. You get the three opportunities worth the most and what we would not do.

  2. 02

    The foundations

Access to scheduling, work order app and admin, agreements on data and permissions, and logging. An owner for each step, such as the planner or the office.

  3. 03

    The first process

Often the work order or the calls, but the audit decides. At first everything goes past a member of staff; what proves to work well may then run on its own.

  4. 04

    Expanding

Quotes, maintenance contracts or paperwork are added on the same foundations, without starting over.

After go-live it stays under supervision

  • MonitoringWe track errors and exceptions for each work order and call, and spot it when something is off.
  • AdjustingNew price lists, customer agreements or schemes go into the instructions, and we test them on real examples first.
  • Access and loggingPermissions follow the roles in your company, and logging stays on, even when everything is going well.
  • ExpandingNew tasks are added as soon as they demonstrably add value.

Frequently asked questions

What can AI do for an installation company?

AI and automation take over or prepare the work around the job: turning work orders into invoice lines, assessing and scheduling fault and maintenance calls, drafting quotes, completing the paperwork for subsidies or handover and answering recurring customer questions about an appointment. The planner, the adviser and the office staff decide, and every action is logged. If an integration between two packages is enough, we build that, not AI.

Does this replace our scheduling package or work order app?

No. We build on the software you already have: the scheduling package, the work order app, the ERP and the accounting package. If a package has an integration or API, an AI employee works inside it. If a standard feature of your package already solves the problem, we'll tell you, even if that means there's nothing to build.

Can AI process incomplete work orders from engineers?

Yes, that is exactly where it helps. An AI employee reads whatever was filled in, even if it's a photo or a short message, fills in the gaps from the schedule and the materials log, and asks the engineer specifically for what's missing. Anything it isn't sure about goes to the office instead of onto the invoice.

We still use paper work orders. Is AI the first step?

Usually not. Then a digital work order is the first step, and that doesn't need AI. An AI employee can read a photo of a paper form, but a consistent digital work order is more reliable. In the AI Opportunity Audit we look at the shortest route for you.

Can AI help with subsidy applications and handover files?

With the gathering, yes: for each job, collecting the photos, the appliance details, the invoices and the signatures, and flagging what's missing. Which documents are needed is set out based on the conditions of the scheme or the client, not from a language model's memory. The application itself, and responsibility for it, stays with you or the customer.

What happens to customer data and photos taken in people's homes?

Which data an AI employee gets to see is decided in the design, and it is no more than the task needs. For each application we choose a model via an API or an open model running within the EU, depending on how sensitive the data is. Your Tech Club is ISO 27001 certified by Kiwa; that covers how we work and does not replace an assessment per application.

What does AI cost for an installation company?

That depends mainly on the number of systems, the number of exceptions in the process and the points where a person needs to decide. Implementation runs on a monthly fee that depends on scope and pace. If you don't yet know where the most value lies, start with the AI Opportunity Audit: a fixed price, known in advance.

Where does an installation company start with AI?

With the work that piles up after the job, not with a tool. In five working days, the AI Opportunity Audit maps what work orders, scheduling, quotes and invoicing cost now, which three opportunities are worth the most and what we would not do. From you we need an intake and three to five interviews.
