Profile
Between a signed quote and an engineer on site sits job preparation: ordering materials, gathering drawings and details, drawing up a schedule and finding out what is still missing.
In installation and construction, good job preparers are hard to find. When this work slips, the engineer arrives on site without the right materials or the information they need.
The Job Preparation Assistant turns the quote and the order into a job pack: a materials list, a proposed schedule and the questions still open. The project manager or job preparer checks it and releases the work.
What it does, step by step
- Read the orderQuote, order confirmation, cost estimate and what was agreed with the customer.
- Draw up the materials listFrom the cost estimate, checked against stock, with a purchase proposal for what is missing.
- Gather informationDrawings, site details, the contact person and anything notable about access.
- Request missing informationFrom the customer, the consultant or the supplier, specifically and with a deadline.
- Prepare the job packWith a proposed schedule, for the project manager to check before the work is released.
Onboarded into your business
Gijs does not start from a generic script. Like any new colleague, Gijs is onboarded into the way your team works first.
- Your knowledgeWe onboard Gijs with your own documents, examples and agreements, so the work is done the way your team does it.
- Your systemsWe set up the integrations for the software you already use. Different fields or different steps? We adapt to them.
- Your rulesYou decide what Gijs handles on its own and what always goes to a person first.
- Grows with youWhen your way of working, a system or a rule changes, we adjust Gijs to match.

What runs automatically and what does not
You stay in control.
Not every decision should be made automatically. For each workflow, we set out:
- What can happen automatically.
- What is put forward for approval first.
- When a person is brought in.
- What information is stored.
- How actions are logged.
Is this a fit for your organisation?
A good fit if
- Installation companies and contractors with many small and medium-sized projects.
- Organisations where engineers currently find out on site what is missing.
- Businesses with cost estimates in the ERP or a fixed quote format.
Less of a fit if
- Technical design, calculations and safety judgements: those stay with a specialist.
- Large, one-off projects where every job preparation is bespoke.
What it can deliver
- Engineers who set off with the right materials and the right information.
- Fewer extra trips to the wholesaler.
- Open questions known before the work starts.
Directions, not promises. As soon as there is evidence from a client project, it will appear here as a substantiated result.
Frequently asked questions
Can AI take over job preparation?
The gathering and checking, yes: pulling materials from the cost estimate, checking them against stock, collecting details and requesting what is missing. The technical judgement and releasing the work stay with the job preparer or project manager.
Does it order materials from the wholesaler itself?
It drafts a purchase proposal. Whether it may also order on its own, you choose per supplier or per type of product. Most businesses start with a proposal that someone approves.
Does this help with the skills shortage in the installation sector?
It takes work away from the people who are hardest to find. Every hour a job preparer or engineer spends looking things up and chasing is an hour not spent on skilled work. The better that is arranged in advance, the less time skilled staff spend on it themselves.
Does it also keep track of the handover file?
From the start it can track which documents the file needs and which are already there, such as photos, inspections and product details. Which documents are needed, we set out based on the client's requirements and the rules that apply. Whether the file is complete is judged by a person.
Does this work with our ERP and our planning?
Yes. Quote, cost estimate and stock come from your ERP, such as Exact, AFAS or Business Central. The proposed schedule goes into the planning software you already use, so no second schedule appears.
