A sick call at seven in the morning means phoning round until someone says yes.

That costs a planner the first hour of the day, and the outcome depends on who happens to pick up.

The Shift Filler checks who is available and qualified, contacts people in the order you have agreed and puts the result forward.

What it does, step by step

  1. Register the absenceA sick call or cancellation, with the shift that is left open.
  2. Identify candidatesWho is available, qualified and not over their hours.
  3. Contact them in orderFollowing the agreements on permanent staff, flexible staff and overtime.
  4. Process the repliesWho can, who cannot, and what is still open.
  5. Put it forwardThe filled shift for confirmation, or the problem if no one is available.

What runs automatically and what does not

You stay in control.

Not every decision should be made automatically. For each workflow, we set out:

  • What can happen automatically.
  • What is put forward for approval first.
  • When a person is brought in.
  • What information is stored.
  • How actions are logged.

Is this a fit for your organisation?

A good fit if

  • Care, hospitality, retail and manufacturing with rotas and minimum staffing.
  • Organisations with qualification requirements per shift.
  • Situations where absences are currently solved by phone.

Less of a fit if

  • Office environments without rotas.
  • Judging whether someone is working too many shifts: that is a conversation.

What it can deliver

  • A filled shift sooner after a sick call.
  • A consistent order in which people are contacted.
  • Insight into which shifts are structurally hard to fill.

Directions, not promises. As soon as there is evidence from a client project, it will appear here as a substantiated result.

Frequently asked questions

Can an AI employee arrange cover itself when someone calls in sick?

It can contact available, qualified colleagues and process their replies. We usually leave the final scheduling to the planner, because things often play a part that are not in the system.

Does it take qualifications and authorisations into account?

Yes, as long as they are recorded per employee. In care and technical work that is crucial: scheduling someone without the right authorisation is a bigger problem than a gap in the rota.

Does it also monitor the Dutch Working Hours Act (Arbeidstijdenwet)?

It can flag when filling a shift would conflict with rest periods or maximum shifts, based on the rules you set out. It remains a signal: responsibility for compliance lies with the employer.

Which channel does it use to contact staff?

The channel your team uses, usually WhatsApp or an app. We do recommend capping the number of messages: people who are asked three times a week on their day off will stop responding.
