INTEGRATIONSAFAS PROFIT + EXACT ONLINE

Connect AFAS to Exact Online

Sometimes HR and payroll run in AFAS Profit while the books are in Exact Online. Then the payroll journal entry has to go from AFAS to Exact after every pay period. AFAS can export it as a file for another accounting package. How that file, or an integration, gets into Exact decides how much manual work is left.

The situation

In AFAS you decide per employer whether and how you post journal entries. For Profit Financieel you choose the Profit integratie export definition. For another package you export a file: an analysis on the Medewerker journaalpost data collection, where you choose the fields and their order, or the fixed Profit export, whose file you can't change.

For Exact Online that means someone creates the file, imports it and checks it adds up. Every period, again. With the fixed export, only the first and second dimension go to Exact, and AFAS no longer maintains the export definitions for Exact Globe, among others.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01Payroll journal entryAFAS Profit → Exact Onlineafter a period is approved

A GetConnector on AFAS's journal entry data returns the lines. The integration posts them as a general journal entry in the right Exact administration, with no file in between.

  2. 02Cost centres and dimensionsAFAS Profit → Exact Onlinewith every journal entry

The split over cost centres and cost units comes along. An integration of your own carries every dimension you use in Exact, not just the first two.

  3. 03Chart of accounts and cost centresExact Online → AFAS Profitat setup and on every change

Exact is the source for general ledger accounts and cost centres. The integration checks that every code from AFAS exists in Exact before posting.

  4. 04Entry number and statusExact Online → AFAS Profitafter posting

The entry number from Exact goes into the integration's log, so you can see per period what was posted and what wasn't.

Off the shelf or custom

Not always. If an existing integration for AFAS Profit and Exact Online does exactly what you need, we'll tell you.

What already exists

For an external accounting package, AFAS offers an export as a file, through your own analysis or the fixed Profit export. AFAS no longer supports or maintains the export definitions for Exact Globe, among others; if one stops working, you switch to the analysis. The Exact Online App Store lists integrations from other vendors; check there whether one fits your AFAS setup.

A file someone imports every period works for one employer and a simple split. With several employers, more than two dimensions or a check before posting, an integration through the APIs of both packages is more reliable.

When you need custom work
  • You have several employers in AFAS that post to different Exact administrations.
  • You use more than two dimensions, such as cost centre, cost unit and project.
  • You want the journal entry posted automatically after approval, without a file.
  • You want a check on the entry before the period closes in Exact.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Checking the journal entry before posting

AI compares the journal entry with previous periods and with the chart of accounts in Exact, and flags what's off: an unknown cost centre, a pay component on a new account. The entry only goes through after approval.

Questions from the bookkeeper

An assistant answers questions like 'why are employer costs higher this month?' at cost centre level, without access to individual salaries in AFAS.

What to watch

Waiting for approval

AFAS can post journal entries automatically as soon as a period is approved. Let the integration wait for that rather than run at a fixed time, or you post a period that isn't finished.

Per employer, per administration

In AFAS you set up journal posting per employer, and every Exact call goes to one administration. Record which employer posts to which administration.

General journal entries can't be edited

Through the API you can create and delete a general journal entry in Exact, but not change it. A correction means deleting and reposting, or adding a correcting entry next to it.

Level of detail and privacy

A journal entry per employee shows in Exact what everyone earns. Post per cost centre if more people see the books than the payroll team.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Payroll journal entry, Cost centres and dimensions, Chart of accounts and cost centres, Entry number and status.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Waiting for approval, Per employer, per administration, General journal entries can't be edited, Level of detail and privacy.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

Who you'll talk to

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Frequently asked questions

Can AFAS send the payroll journal entry to Exact Online?

AFAS exports the journal entry as a file for another accounting package: your own analysis or the fixed Profit export. You import that file into Exact. Posting automatically without a file needs an integration on the APIs of AFAS and Exact.

Which dimensions go from AFAS to Exact?

With the fixed Profit export to Exact, only the first and second dimension. If you use more, choose the analysis, where you pick the fields yourself, or an integration through the API.

Does the old export definition for Exact still work?

AFAS no longer supports or maintains the export definitions for Exact Globe, among others. If such a definition stops working, AFAS won't fix it, and you switch to the analysis or an integration.

Can the journal entry go to Exact automatically after approval?

Yes, with an integration. AFAS posts journal entries automatically after approval if you switch that on per employer. The integration then fetches the journal entry and posts it in Exact through the API.

Why not run everything in AFAS, or everything in Exact?

Sometimes that's the better choice, and then we'll say so. If the bookkeeper already works in Exact and HR has been in AFAS for years, a good integration is often less disruptive than switching.
