What is the difference between RPA and AI?
By Yassine Seghrouchni, founderUpdated
In short
RPA (robotic process automation) carries out predefined steps according to fixed rules. With the same input, the outcome is always the same, but as soon as the input deviates, it goes wrong. AI assesses and interprets, copes with variation and free text, but doesn’t always give the same outcome and can make mistakes.
Also known as: RPA, Robotic Process Automation
The difference at a glance
- Input: RPA works with structured, predictable input. AI can also handle free text, documents and images.
- Outcome: RPA always gives the same result for the same input. With AI the outcome can vary, so you measure quality.
- When something deviates: RPA breaks or gets it wrong. AI tries to interpret and can get it wrong.
- Explainability: with RPA you can read back the rules. With AI you can’t see exactly why an outcome is what it is.
- Maintenance: RPA breaks when screens or formats change. AI requires you to keep monitoring quality over time.
When to choose which?
Choose fixed rules: with RPA or ordinary automation, when the outcome must be exactly right and the input is predictable. Adding up amounts, calculating VAT, checking whether a field is filled in, creating a record when a condition is met.
Choose AI: when the input differs from case to case and interpretation is needed. Working out what a customer is asking in a freely written email, reading an invoice that every supplier lays out differently, judging whether a complaint is urgent.
Why it matters in practice
Most solutions that really work contain both. Take invoice processing: AI reads the document and extracts the fields, fixed rules check whether the amount matches the purchase order and whether the supplier is known, and only when both check out does the invoice go through. If something deviates, it goes to a person. See automating invoice processing.
That division of roles, AI for interpretation, rules for certainty and a person for exceptions, avoids both the brittleness of pure RPA and the unpredictability of pure AI.
Frequently asked questions
Do I have to choose between RPA and AI?
Usually not. The strongest solutions combine both: AI reads and interprets the free-form input, fixed rules do the checks and calculations where you need an exact outcome. Use AI where there’s variation and rules where you need certainty.
Is AI more expensive than RPA?
Not by definition. The cost depends on volume, licences and above all maintenance. RPA breaks with every change to a screen or format. An AI solution can drift in quality, so you have to keep measuring it. Work out both for your own process.
