INTEGRATIONSAFAS PROFIT + KVK

AFAS KVK integration

AFAS Profit can search the Dutch Business Register itself when you create an organisation. For a single new account, that's enough. If organisations come from your website, CRM or portal, or you want to keep your whole account base up to date, you need an integration on the APIs of the KVK.

The situation

In Profit, you choose Zoeken in KvK when creating a new organisation. You search by name, KVK number or both, and see up to thirty results. Pick one and the name, address, KVK number, branch number and additional information go straight into Profit. The Netherlands activation must be switched on; nothing else needs setting up.

That works when someone in the back office creates the organisation. But accounts also start elsewhere: in a quote form, a customer portal or a CRM, and then reach AFAS through an UpdateConnector. There's no search button there. The integration has to look up the KVK number itself and send it along.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01Search in the Business RegisterAFAS Profit → KVKbefore a new organisation goes into AFAS

The name and town of the new account go to the KVK's Zoeken API. With one clear match, the integration takes the KVK number; in unclear cases the account goes on a list for the back office.

  2. 02Organisation with KVK dataKVK → AFAS Profitwhen the account is created

Name, address, KVK number and branch number come from the Basisprofiel. They go into AFAS through the KnOrganisation UpdateConnector, and the debtor through KnSalesRelationOrg.

  3. 03Checking existing organisationsAFAS Profit → KVKonce or periodically

A GetConnector returns organisations with their KVK number. The integration compares them with the KVK and lists differences, such as a new address or a deregistration.

  4. 04Changes from the MutatieserviceKVK → AFAS Profiton a signal

When something changes in the Business Register, the integration fetches the new Basisprofiel and updates the organisation, or creates a task for the back office.

Off the shelf or custom

Not always. If an existing integration for AFAS Profit and KVK does exactly what you need, we'll tell you.

What already exists

Zoeken in KvK is part of Profit itself, when you create an organisation. It searches by name and KVK number, shows up to thirty results and copies the chosen data straight in. Branches without a branch number don't appear in the results.

For accounts an employee creates, that's usually all you need. An integration on the KVK APIs is needed when accounts come in from other systems, when you want to check your existing accounts, or when you want to track changes automatically.

When you need custom work
  • Organisations arrive through an UpdateConnector from your website, portal or CRM, and must come in with a KVK number.
  • You want to check and deduplicate your existing organisations in AFAS on KVK number, once.
  • You want an automatic task for the back office when a customer moves, changes name or is deregistered.
  • You want to use legal form or SBI code in an acceptance or approval step.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Preparing unclear matches

When there are several possible registrations, AI lists the candidates with the reason one is more likely than another. The back office chooses. That keeps wrong KVK numbers out of AFAS.

Summarising changes

Mutatieservice signals arrive as a file item on the organisation, with a short summary of what changes. Whether payment terms or a contract need to change too is decided by a person.

What to watch

KVK number or branch number

The branch number is unique per branch. A business with several branches has one KVK number and several branch numbers. Decide whether an organisation in AFAS is the business or a branch, and link on the matching number.

A dedicated user and app connector

Give the integration its own user and an app connector with only KnOrganisation, KnSalesRelationOrg and the GetConnector it needs. That way you can see in AFAS which changes came from the integration.

Cost of checking your account base

Checking your account base takes one Basisprofiel per organisation, at €0.02 each. Once is easy to justify, but don't repeat it every night. Use the Mutatieservice for that.

What the back office set on purpose

Don't automatically overwrite values that differ for a reason, such as an invoice address that isn't the branch address. Only update the KVK fields and list everything else as a difference.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Search in the Business Register, Organisation with KVK data, Checking existing organisations, Changes from the Mutatieservice.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: KVK number or branch number, A dedicated user and app connector, Cost of checking your account base, What the back office set on purpose.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Frequently asked questions

Can AFAS fetch data from the KVK itself?

Yes. When you create an organisation in Profit, you choose Zoeken in KvK. You search by name or KVK number, see up to thirty results and copy the name, address, KVK number and branch number straight in. The Netherlands activation must be switched on.

Does Zoeken in KvK also work for organisations created through the API?

Zoeken in KvK is a step in the screen where you create an organisation. When an organisation comes in through an UpdateConnector, the integration looks up the KVK number itself through the KVK's APIs and sends it along.

Can I check my existing accounts in AFAS against the KVK?

Yes. A GetConnector returns the organisations with their KVK number, the integration requests the Basisprofiel for each one and lists the differences. At €0.02 per request, a one-off check is easy to justify.

How do I keep AFAS up to date when a customer moves?

With the KVK's Mutatieservice. You fetch signals about changes in the Business Register yourself, and the integration updates the organisation or creates a task. The Mutatieservice costs €1,279 per year on top of the API subscription.

Which UpdateConnector do I use for organisations in AFAS?

KnOrganisation for the organisation and its contacts, and KnSalesRelationOrg for the debtor. Give the integration its own app connector with only those connectors and the GetConnector it reads.
