Connect Pipedrive to Google Workspace
Salespeople who work in Gmail and Google Calendar don't want to type everything into Pipedrive again. Pipedrive has its own integrations with Gmail, Calendar, Contacts and Drive. They work per user, and that's exactly where the limit lies.
- Email goes back and forth with Google Workspace
- Calendar goes back and forth with Google Workspace
- Contacts goes back and forth with Google Workspace
- Documents goes back and forth with Google Workspace
- Gmail side panel comes from Google Workspace
Built for clients including Tata Steel, M&G Investments, Digistore24, Toppers in Concert, Bar-le-Duc and Loogman
A small sales team emails customers from Gmail, schedules meetings in Google Calendar and keeps quotes in Drive. Without an integration, part of the customer contact is in Pipedrive and part is in someone's inbox. Whoever covers for a colleague misses half the conversation.
With the integration, emails land on the right person and deal, meetings become activities in Pipedrive and documents are attached to the deal. Pipedrive then leads on customers and deals, Google Workspace on email, calendar and files.
For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.
- 01EmailPipedrive ↔ Google Workspacefor every synced email
With email sync, emails from Gmail come into Pipedrive, and Pipedrive links them to the right people and deals itself. You can also send email from Pipedrive. Email sync isn't included in every plan.
- 02CalendarPipedrive ↔ Google Workspacewhen a meeting is created or changed
Pipedrive activities appear in Google Calendar. If you choose two-way sync, meetings from Google also become activities in Pipedrive, with an activity type you choose. Each user only syncs their own activities.
- 03ContactsPipedrive ↔ Google Workspacewhen a contact is created or changed
You sync Google contacts and Pipedrive people one way or both ways. Handy for calling from your phone, but watch out for personal contacts quietly ending up in the CRM.
- 04DocumentsPipedrive ↔ Google Workspacewhen linking or creating a document
You link existing Drive files to deals, people and organisations, or create a new Google document from Pipedrive. The file stays in Drive: if you delete it there, it's gone from Pipedrive too.
- 05Gmail side panelGoogle Workspace → Pipedrivewhen you open an email
With Pipedrive's Gmail add-on, you see the sender's details next to an open email. You create people, deals, activities and notes without leaving Gmail.
- 06UsersGoogle Workspace → Pipedrivewhen someone joins or leaves
The standard integration doesn't do this. With a custom integration, you create a Pipedrive user as soon as someone gets a Google account, and set that user to inactive when they leave. Pipedrive's API can do both.
Not always. If an existing integration for Pipedrive and Google Workspace does exactly what you need, we'll tell you.
The Google sync is built into Pipedrive: each user switches it on in their personal preferences. Email, calendar, contacts and Drive each have their own setting, and you install the Gmail add-on through the Google Workspace Marketplace. For a sales team where everyone manages their own inbox and calendar, that's usually enough.
The limit is anything that isn't per user. Creating and closing users, a fixed folder structure in a shared drive for the whole team, or bringing in enquiries from a shared inbox as leads: the standard integration doesn't handle those.
- New employees in Google Workspace automatically get a Pipedrive user, and leavers are set to inactive.
- When a deal is won, the integration creates a fixed folder structure in a shared drive, with permissions for the project team.
- Enquiries from a shared Gmail inbox come into Pipedrive as leads, with sender and subject already filled in.
- Meetings a customer books through a form or scheduler arrive as an activity on the right deal.
AI reads, sorts and prepares a suggestion. Where it matters, a person decides.
An enquiry in Gmail becomes a lead
AI reads an email in a shared inbox: who is it, which company, what do they want? It creates a lead in Pipedrive with a short summary, and puts a draft reply in Gmail. The salesperson reviews and sends it.
Preparing a meeting
Before a meeting in Google Calendar, AI prepares a summary of the deal, the latest emails and the open questions, as a note in Pipedrive. The salesperson starts the meeting with an overview, but sets the direction themselves.
Built-in AI first
Pipedrive summarises email threads itself, in beta and in the higher plans, and Gemini does so in Gmail. For one salesperson with one inbox, that's often enough. Your own AI step only pays off when you combine data from several sources, or want something prepared in Pipedrive.
Per user, not per team
Each salesperson connects their own Google account. If someone leaves, their sync stops. Agree what happens to their deals, activities and linked documents, and who takes them over.
Personal and business mixed up
Two-way contact sync puts Pipedrive people into your Google contacts, and vice versa. If people also use those contacts privately, personal contacts end up in the CRM. One direction is the safer choice.
A calendar full of activities
With two-way calendar sync, every meeting in the chosen Google calendar becomes an activity in Pipedrive, including meetings that have nothing to do with customers. Choose deliberately which calendar you connect and which activity type those meetings get.
Files stay in Drive
Documents you link to a deal live in Drive, not in Pipedrive. If someone deletes the file in Drive, it's gone from Pipedrive too. So keep customer documents in a shared drive, not in someone's personal Drive.
What goes where
Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Email, Calendar, Contacts, Documents, Gmail side panel, Users.
Fields and rules
For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Per user, not per team, Personal and business mixed up, A calendar full of activities, Files stay in Drive.
Testing with real cases
In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.
Live, with logging and monitoring
Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Does Pipedrive have a standard integration with Google Workspace?
Yes. Pipedrive syncs with Gmail, Google Calendar, Google Contacts and Google Drive itself, and has a Gmail add-on. Each user switches on the sync in their personal preferences. Email sync isn't included in every plan.
Can I sync Google Calendar with Pipedrive both ways?
Yes. You choose between one-way sync, where Pipedrive activities appear in Google Calendar, and two-way sync, where Google meetings also become activities in Pipedrive. Each user only syncs their own activities.
Can Pipedrive create users automatically from Google Workspace?
Not with the standard integration. Pipedrive's API does let you add users and set them to inactive. A custom integration does that based on the accounts in Google Workspace or your HR system.
Do I need Google's approval for a custom Gmail integration?
Not for an internal app that only runs within your own Workspace organisation. Scopes for reading Gmail are restricted, though. If the integration is also meant for other organisations, it has to go through Google's verification, and if it stores that data, through a security assessment as well.
