Connect ChatGPT to Google Workspace

Finding an email thread, planning your day with your calendar to hand, or updating a document with yesterday's action points. ChatGPT has its own apps for Gmail, Google Calendar, Google Contacts and Google Drive. Here's what they do, what the admins on both sides set up and what to watch out for.

The situation

For organisations that run on Google Workspace, most of the work happens in Gmail, Calendar and Drive. ChatGPT can search there directly and work with Docs, Sheets and Slides. So you can compare two budgets in Sheets, or write a customer update based on the launch notes in Drive.

Two admins are involved. The ChatGPT admin decides which actions are on; the Google Workspace admin decides whether OpenAI's ChatGPT app gets the matching Google permissions. If the two don't line up, staff get errors when connecting or when running an action.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01Search and read emailGoogle Workspace → ChatGPTWhen the inbox is full or before a meeting

ChatGPT searches Gmail and summarises email threads. With several accounts connected, it searches all your inboxes at once.

  2. 02Calendar and Google MeetGoogle Workspace → ChatGPTWhen planning your day

Meetings from Google Calendar and, through the calendar app, Google Meet recordings and transcripts too, if the admin approves those permissions.

  3. 03Files in Drive, Docs and SheetsGoogle Workspace → ChatGPTFor an update or proposal

ChatGPT searches files your Google account can access and reads documents, spreadsheets and presentations.

  4. 04Contact detailsGoogle Workspace → ChatGPTWhen scheduling or emailing

Google Contacts is read-only: ChatGPT looks up an address or number, but doesn't change anything.

  5. 05Draft or sent emailChatGPT → Google WorkspaceOnce you approve

ChatGPT creates a draft and you can send it from the chat. That works on the web, including for Business and Enterprise.

  6. 06Update a documentChatGPT → Google WorkspaceAfter a meeting

Add action points to a Google Doc or update a Sheet. Actions that create, share, move or delete files require the broad Drive permission.

Off the shelf or custom

Not always. If an existing integration for Google Workspace and ChatGPT does exactly what you need, we'll tell you.

What already exists

In ChatGPT Business, apps are on by default, including the Docs, Sheets and Slides actions through the Google Drive app. In Enterprise and Edu, the admin switches those actions on first. Each employee connects their own Google account, and ChatGPT only sees what that account sees.

For Drive, the admin of an eligible workspace can also set up an indexed source, using a service account and domain-wide delegation. You choose which shared drives go into it, and staff only find files they have permission for in Drive. Google is also building its own MCP servers for Workspace, but as of September 2026 they're still a developer preview.

When you need custom work
  • ChatGPT needs to combine Workspace with another system, such as your CRM or scheduling, in a single action.
  • You want a fixed process with its own rules and logging, not a task that runs per user in ChatGPT.
  • The assistant needs to run in your own application; then you use the OpenAI API with your own OAuth connection to Google.
  • You don't want to grant the broad Drive permission, but still want to allow certain write actions.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Find first, then answer

ChatGPT is strong at finding and summarising: what has this customer asked over the past few weeks, and what did we promise? The draft reply comes after that, and you send it.

Tasks on new email

Depending on your plan, you can have ChatGPT start a task when a new Gmail message arrives, filtered by sender or subject. Actions that need approval wait until you review them. That way an automatic response stays a suggestion.

What to watch

Permissions that don't match

If an action is on in ChatGPT but the Google permission (scope) isn't approved, connecting or the action fails. Switch off in ChatGPT what you don't want, and in the Admin console approve only the scopes for what's left.

App access in Google

In the Admin console you set, per app, whether it's trusted, can only use specific Google data, is limited or is blocked. Make that choice deliberately rather than letting staff grant consent themselves.

Memory and personalisation

If Memory is on, ChatGPT can use information from Google apps to personalise answers. Disconnecting doesn't delete existing chats and memories. Agree what your team wants to do about that.

Files shared too widely

ChatGPT finds everything the connected account can access, including files shared with the whole organisation. Tidy up those sharing settings before you connect Drive.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Search and read email, Calendar and Google Meet, Files in Drive, Docs and Sheets, Contact details, Draft or sent email, Update a document.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Permissions that don't match, App access in Google, Memory and personalisation, Files shared too widely.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

Frequently asked questions

Which Google apps can you connect to ChatGPT?

Gmail, Google Calendar, Google Contacts and Google Drive, with actions for Docs, Sheets and Slides through Drive. Google Meet data also comes in through the calendar app, and there are actions for BigQuery. Which actions are available depends on your plan and the admin's settings.

Does OpenAI train on our Gmail and Drive data?

No. OpenAI doesn't train its general models on data that comes directly from connected Google apps, even if the setting to improve the model is on. The exceptions are conversations you share as feedback and text you paste into the chat yourself. For Business and Enterprise, OpenAI also doesn't train on workspace data by default.

What does our Google Workspace admin need to do?

Trust the ChatGPT/OpenAI app, or approve the required OAuth scopes in the Admin console under API controls. Which scopes are needed depends on the actions the ChatGPT admin switches on. Staff then reconnect their accounts.

Can ChatGPT delete files in Drive?

With the broad Drive permission, the app can create, update, share, move and delete files, if those actions are on in ChatGPT. If you don't want that, switch the actions off and don't approve that scope. Depending on the settings, ChatGPT asks for confirmation first.

What happens if an employee disconnects Google?

ChatGPT can then no longer reach the files through that connection. Existing chats and memories remain, as does an admin's indexed source. Deleted chats are permanently removed within 30 days, unless a legal obligation requires keeping them longer.
