Connect ChatGPT to HubSpot
Ask ChatGPT where a deal stands, have it prepare a customer call with the full history to hand, and set up the follow-up as a task in HubSpot. HubSpot has its own app in ChatGPT for this. Here's what it does, where it stops and what to watch out for.
- Deal status and pipeline goes to ChatGPT
- Customer history for a call goes to ChatGPT
- Campaign results goes to ChatGPT
- Follow-up as a task or note comes from ChatGPT
- Deal stage and contact details comes from ChatGPT
Built for clients including Tata Steel, M&G Investments, Digistore24, Toppers in Concert, Bar-le-Duc and Loogman
Sales teams that work in HubSpot piece together a customer's context from deals, emails, notes and tickets. In ChatGPT, you do that with one question: what have we discussed with this customer over the past month, and which deals are open? The answer comes from HubSpot, not from the model's memory.
The integration works both ways. ChatGPT reads records and conversation history, and can also create or update contacts, deals, notes and tasks. That's handy after a call, but it also means you decide up front who can do what and when ChatGPT asks first.
For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.
- 01Deal status and pipelineHubSpot → ChatGPTWhenever you ask
Stage, amount, close date and owner for each deal. ChatGPT only sees the deals you're allowed to see in HubSpot; an account manager with limited permissions only gets their own pipeline.
- 02Customer history for a callHubSpot → ChatGPTBefore a customer call
Emails, calls, meetings, notes and tasks around a contact or company, plus the tickets. From that, ChatGPT prepares a short briefing: what's going on, what's been promised, what's still open.
- 03Campaign resultsHubSpot → ChatGPTWhen reviewing a campaign
Campaigns with attribution data and the performance of landing pages and blogs. ChatGPT works out which campaigns led to the most valuable deals; for a larger analysis, use deep research.
- 04Follow-up as a task or noteChatGPT → HubSpotAfter a call, once you approve
ChatGPT suggests a note and a follow-up task and adds them to HubSpot when you confirm. In HubSpot's audit log, the action is recorded under the user's name and the ChatGPT integration.
- 05Deal stage and contact detailsChatGPT → HubSpotWhen something changes
A new stage, close date or phone number. ChatGPT creates or updates up to ten records per request; it can't delete.
Not always. If an existing integration for HubSpot and ChatGPT does exactly what you need, we'll tell you.
The HubSpot app in ChatGPT is built by HubSpot and available to HubSpot customers on any plan with an OpenAI account. It reads contacts, companies, deals, tickets, leads, quotes, invoices and conversation history, among other things, and can create or update contacts, deals, tasks and notes. If your team mainly needs questions answered, preparation and small updates, this is enough.
What it doesn't do: delete records, build marketing emails or workflows in HubSpot (ChatGPT supplies the text, you set it up in HubSpot) or apply your own validation rules. You also connect one HubSpot account at a time per ChatGPT account.
- Your validation rules for deal stages and associations also need to apply to changes coming in through AI.
- You want to combine HubSpot with other sources, such as your accounting, in a single answer or action.
- You want to update more than ten records at once, or on a fixed schedule.
- The assistant needs to run in your own portal; then you build on HubSpot's MCP server and the OpenAI API.
AI reads, sorts and prepares a suggestion. Where it matters, a person decides.
Preparing instead of searching
The biggest gain is in reading: a customer briefing before a call, a list of stalled deals, a summary of an account's tickets. It saves clicks without changing anything in HubSpot.
Writing with a person in between
HubSpot recommends setting the app's write tools to 'Needs Approval'. On 'Always allow', changes can go through without asking. Have the account manager read and confirm every suggested change.
Validation rules are skipped
For changes made through ChatGPT, HubSpot doesn't apply your own validation rules, including for pipeline stages and association labels. A deal can end up in a stage your process would normally block. Check the record after a change.
Who can connect
Super Admins and users with App Marketplace permissions can connect the app without separate approval, including external parties with those permissions. For everyone else, a Super Admin approves the app and chooses which data it can use. The audit logs show who connected it and when.
Sensitive data
If Sensitive Data is switched on in HubSpot, ChatGPT can't read engagement data such as emails and notes. Sensitive properties are always out of reach. Bear that in mind if your team is counting on call preparation.
Check the numbers
ChatGPT can make mistakes, including when adding up many deals. Ask for links to the records and compare totals with a HubSpot report before you base a forecast on them.
What goes where
Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Deal status and pipeline, Customer history for a call, Campaign results, Follow-up as a task or note, Deal stage and contact details.
Fields and rules
For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Validation rules are skipped, Who can connect, Sensitive data, Check the numbers.
Testing with real cases
In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.
Live, with logging and monitoring
Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Is there an official integration between HubSpot and ChatGPT?
Yes. HubSpot built the HubSpot connector for ChatGPT itself; in ChatGPT it's called the HubSpot app. You connect it through Settings and Apps in ChatGPT and sign in with your HubSpot account. If you don't have install permissions in HubSpot, a Super Admin has to approve the app first.
Can ChatGPT update deals and contacts in HubSpot?
Yes. It can create and update contacts, companies, deals, tickets, tasks and notes, among others. ChatGPT shows the proposed change and asks for confirmation, depending on how the write tools are configured. Deleting isn't possible through the app.
Can every employee see all customer data in ChatGPT?
No. The app follows the user permissions in HubSpot, so a salesperson only sees the deals and contacts they can see in HubSpot. On top of that, the Super Admin decides which data types the app can use.
Does OpenAI train on our HubSpot data?
Not on ChatGPT Business and Enterprise; that follows from OpenAI's standard terms. On personal plans, according to HubSpot, OpenAI may use the data to improve the integration unless you switch that off. On the HubSpot side, requests for an EU account go through the European data centre.
Can ChatGPT build a marketing email or workflow in HubSpot?
Not with this app. ChatGPT writes out the text, triggers and steps, and you set them up in HubSpot yourself. If it needs to land in HubSpot automatically, you need a custom integration.
