INTEGRATIONSTWINFIELD + HUBSPOT

Connect Twinfield to HubSpot

Sales works in HubSpot, the books are in Twinfield, often with an accountant involved. An integration turns a won deal into an invoice without retyping, and shows your account manager which customers still have to pay.

The situation

You see this combination at growing B2B companies that have set up marketing and sales in HubSpot while the accounts run in Twinfield. Often an accounting firm does part of the work in the same Twinfield administration. After a deal is won, sales asks for an invoice, and finance retypes customer details and lines from HubSpot.

That works until the volume grows. Addresses drift apart, a deal with three lines becomes an invoice with two, and an account manager calls a customer about a renewal without knowing two invoices are still unpaid. The integration removes the retyping and brings payment information back to where sales works.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01New customer as debtorHubSpot → Twinfieldwhen a deal is won

The company from HubSpot becomes a customer (debtor) in Twinfield, with billing address, VAT number and payment terms. The customer code follows the administration's code format, not the HubSpot record ID.

  2. 02Customer code back in HubSpotTwinfield → HubSpotstraight after it's created

The Twinfield code is added as a property on the company in HubSpot. That lets the integration find the same customer next time, so no duplicates are created.

  3. 03Deal with line items to invoiceHubSpot → Twinfieldwhen the deal is marked as won

The deal's line items become invoice lines, with the right revenue account and VAT code per product. Depending on your package, that becomes a sales invoice in Twinfield or a sales transaction.

  4. 04Open items per customerTwinfield → HubSpotdaily

The outstanding amount and the oldest due date are added to the company in HubSpot. Before a renewal or upsell, sales can see whether anything is still open, without access to Twinfield.

  5. 05Invoice payment statusTwinfield → HubSpotafter matching in Twinfield

As soon as an invoice has been matched in Twinfield, its status in HubSpot changes to paid. Useful if onboarding or delivery only starts after payment.

Off the shelf or custom

Not always. If an existing integration for Twinfield and HubSpot does exactly what you need, we'll tell you.

What already exists

HubSpot builds its own accounting integrations with QuickBooks Online, among others. We haven't found a Twinfield integration from HubSpot or from Wolters Kluwer itself. There are integrations from other parties; if you consider one, ask whether it has been certified by Wolters Kluwer.

A standard integration is enough if every deal becomes one invoice, your products have fixed prices and you work with a single Twinfield administration. If you have instalment invoices or several BVs (Dutch private limited companies), or want payment information back in HubSpot, a standard integration often only half fits.

When you need custom work
  • A deal is split into instalments or monthly invoices, as with a project with a down payment.
  • You have several BVs, each with its own Twinfield administration, and the deal determines which BV invoices.
  • Sales creates quote-specific line items that aren't in the product library, so there is no fixed revenue account.
  • Open items and payment status need to go back to HubSpot, for example to drive a workflow or renewal task.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

A heads-up before a renewal

Before a renewal deal gets a quote, AI adds the customer's payment history in plain language to the company in HubSpot: how much is outstanding and how late the customer paid recent invoices. The account manager decides what to do with it.

Checking the draft invoice

AI compares the draft invoice with the deal: is a line missing, is the discount right, does a new product have a revenue account yet? Discrepancies go to finance with an explanation. Only after approval is the invoice finalised in Twinfield.

What to watch

Which system leads

HubSpot leads for contacts and the deal. Twinfield leads for everything financial: the customer code, the billing address once invoices have been issued, and the payment status. So don't let billing addresses be overwritten from HubSpot once there are invoices against them.

Line items without a product

In HubSpot you can create line items that belong to a single quote and don't go into the product library. A line like that has no fixed revenue account. Agree that sales only uses products from the library, or have such lines checked first.

VAT per line

Twinfield calculates and rounds VAT per line. Send the VAT per line from the same calculation as on the quote, so invoice and deal match to the cent.

Limits during development

For a Twinfield client that isn't certified yet, the per-client limits are 5 per cent of the normal number of API credits. The daily update of open items has to fit within that too. Fetch them in one overview instead of making a separate request per customer.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: New customer as debtor, Customer code back in HubSpot, Deal with line items to invoice, Open items per customer, Invoice payment status.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Which system leads, Line items without a product, VAT per line, Limits during development.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

Who you'll talk to

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Frequently asked questions

Does HubSpot have a standard integration with Twinfield?

HubSpot has its own accounting integrations with QuickBooks Online, among others, but we haven't found a Twinfield integration from HubSpot or Wolters Kluwer itself. There are integrations from other parties. Ask those providers whether their integration has been certified by Wolters Kluwer.

Does a won deal become an invoice or an entry in Twinfield?

It can be either. If Twinfield creates the invoice, it uses Twinfield's invoice layout. If you create the invoice elsewhere, you post it as a sales transaction. In the Extra Boekhouden and Basis Boekhouden packages you can't create sales invoices through the API, so posting is the route there.

Can my account manager see in HubSpot whether a customer has paid?

Yes, if the integration writes open items from Twinfield back to the company or deal in HubSpot. You choose which fields sales gets to see, for example only the outstanding amount and the oldest due date. The accounts themselves stay in Twinfield.

What if we have several BVs?

In Twinfield, each BV usually has its own administration, and every API call names that administration's code. So the integration needs to know per deal which BV invoices, for example through a property on the deal. A customer then exists separately in each administration.

How do I prevent duplicate customers?

Store the Twinfield customer code as a property of the company in HubSpot and search on it first. Only if there is no code does the integration create a new customer. Merge duplicate companies in HubSpot before the first sync.
