Connect Simplicate to HubSpot
Marketing and sales work in HubSpot; projects, hours and invoices run in Simplicate. Connect them and a won deal becomes a project without retyping, while the account manager sees in HubSpot how that project is going.
- Mailing lists goes to HubSpot
- Won deal comes from HubSpot
- Accepted quote goes to HubSpot
- Project status goes to HubSpot
- Shared IDs goes back and forth with HubSpot
Built for clients including Tata Steel, M&G Investments, Digistore24, Toppers in Concert, Bar-le-Duc and Loogman
Teams that use both typically use HubSpot for forms, mailings and the sales pipeline, and Simplicate for everything from the signed assignment onwards. The tricky part is that Simplicate also has its own CRM and sales module. Without clear agreements, the same customer exists twice, with two versions of the contact.
So the first choice isn't technical: where does the sales opportunity live? If the pipeline is in HubSpot, a won deal needs to become an organisation, contact and project in Simplicate. If you create quotes in Simplicate, an accepted quote needs to mark the deal as won in HubSpot. Both work, but not mixed together.
For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.
- 01Mailing listsSimplicate → HubSpotwhen you add people to or remove them from a list in Simplicate
The built-in Simplicate integration does this. People become contacts in HubSpot if they don't exist there yet, with email address, first name and last name. People without an email address aren't included.
- 02Won dealHubSpot → Simplicatewhen a deal in HubSpot is marked as won
The company becomes an organisation and the contact a person in Simplicate, and the deal becomes a sale that you convert into a project. The Simplicate API has separate endpoints for this, including one to convert a sale into a project.
- 03Accepted quoteSimplicate → HubSpotwhen the customer accepts the quote in Simplicate
Simplicate sends a webhook when a quote is accepted. The integration marks the related deal in HubSpot as won, with the amount from the quote.
- 04Project statusSimplicate → HubSpotwhen a project closes or the hours budget runs out
Simplicate has a webhook for both moments. In HubSpot it becomes a property on the company or a task for the account manager, for example to discuss a follow-up assignment.
- 05Shared IDsSimplicate ↔ HubSpotwhen a customer is first linked
The Simplicate ID goes on the company in HubSpot, and the HubSpot ID into a free field on the organisation in Simplicate. The Simplicate API lets you filter on free fields of organisations, so this is how the systems find each other again.
Not always. If an existing integration for Simplicate and HubSpot does exactly what you need, we'll tell you.
Simplicate has its own HubSpot integration. It manages HubSpot mailing lists from the Simplicate CRM: you add people or remove them, and the changes appear on the person's timeline. You connect it with a private app in HubSpot with read and write access to contacts, companies and lists. The integration carries email address, first name and last name.
If you only want to send mailings to customers from Simplicate, that is enough. This integration doesn't carry deals, projects or quote status. For that, there are partner solutions, or your own integration on both APIs.
- A won deal in HubSpot needs to become an organisation, contact and project in Simplicate, with the right services.
- The quote status in Simplicate needs to update the deal stage in HubSpot.
- Account managers want to see in HubSpot how much budget is left on a project.
- You have custom fields in HubSpot that need to land on organisations or projects in Simplicate.
AI reads, sorts and prepares a suggestion. Where it matters, a person decides.
Project briefing from the deal
When a deal is won, AI can summarise the notes, emails and meetings in HubSpot into a project description in Simplicate: what was promised, who the contact is, what the deadline is. The project lead reviews and adjusts it. That way the project doesn't start by asking the customer everything again.
A heads-up when budget runs low
When Simplicate reports that a service's hours budget is used up, AI can read through the hours and descriptions and write a short note for the account manager in HubSpot. They decide whether to call the customer. The AI step only reads the hours of that one project.
Choose a leading system per data item
For example, HubSpot for contacts and marketing consent, Simplicate for customer account, billing address and payment term. Let the integration write only in that direction, or a correction in one system overwrites a correction in the other.
Customers already in both
Existing customers are often already in both systems. Link them once on Chamber of Commerce (KvK) number or domain name, store the IDs both ways, and have someone review doubtful cases before the integration goes live.
Marketing consent
Someone in the Simplicate CRM doesn't automatically have consent for mailings. Only add people to a HubSpot list who have opted in, and keep track of that choice in one system.
Limits on the initial load
Simplicate guarantees at least 60 requests per minute and returns at most 100 records per page. So plan the first sync of thousands of contacts separately; after that, only changes go across.
What goes where
Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Mailing lists, Won deal, Accepted quote, Project status, Shared IDs.
Fields and rules
For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Choose a leading system per data item, Customers already in both, Marketing consent, Limits on the initial load.
Testing with real cases
In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.
Live, with logging and monitoring
Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Does Simplicate have an integration with HubSpot?
Yes. Simplicate has its own HubSpot integration that lets you manage HubSpot mailing lists from the Simplicate CRM. People you add to a list become contacts in HubSpot if they don't exist yet. This integration doesn't carry deals or projects.
Can a won deal in HubSpot automatically become a project in Simplicate?
Yes, with an integration on both APIs. It creates the organisation and contact in Simplicate, converts the deal into a sale and the sale into a project. Which services go into the project, you define in a mapping from HubSpot products to Simplicate services.
Should I keep my pipeline in HubSpot or in Simplicate?
Pick one. If your sales team already works in HubSpot with reporting and follow-up, keep the pipeline there and let Simplicate start at the signed assignment. If you create quotes in Simplicate, let the quote status update the deal stage in HubSpot.
Which data does the standard integration carry?
Email address, first name and last name of people on a mailing list. People without an email address aren't included. Changes to lists appear on the person's timeline in Simplicate.
How do I prevent duplicate customers?
Link existing organisations once, for example on KvK number or domain name, and store the IDs in both systems. After that, the integration matches on those IDs. Have a colleague review doubtful cases before they are merged.
