INTEGRATIONSSIMPLICATE + MONEYBIRD

Connect Simplicate to Moneybird

You invoice from Simplicate, based on hours or a fixed price, and your accounts are in Moneybird, the Dutch online bookkeeping tool. Connect them and nobody enters an invoice twice, while the project lead sees in Simplicate whether the customer has paid.

The situation

Without an integration, someone creates the invoice in Simplicate, downloads the PDF and books it again in Moneybird. Or the bookkeeper makes an export every month. That takes time, and it goes wrong in the details: a VAT rate set slightly differently, a customer with a different name in Moneybird, a credit note that gets forgotten.

The other way round, Simplicate doesn't know what happens in Moneybird. The customer pays, Moneybird matches the payment to the invoice, but in Simplicate the invoice is still open. The project lead sends a reminder, or holds back work for a customer who paid long ago.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01Sales invoicesSimplicate → Moneybirdwhen an invoice has been sent from Simplicate

The invoice goes to Moneybird with lines, amounts and VAT and is booked there. Simplicate remains the place where the invoice is created; you don't edit it in Moneybird any more.

  2. 02Customer accountsSimplicate → Moneybirdwith the first invoice to a customer

The organisation from Simplicate becomes a contact in Moneybird, with billing address and VAT number. Later changes go across too, so both systems know the same customer.

  3. 03Payment statusMoneybird → Simplicatewhen Moneybird marks an invoice as paid

Moneybird can send a webhook when a sales invoice gets the paid status. The integration then registers a payment on the invoice in Simplicate, through the payments endpoint in the API.

  4. 04General ledger and VATSimplicate → Moneybirdat set-up and with every new revenue group

Revenue groups and VAT classes in Simplicate point to general ledger accounts and VAT rates in Moneybird. This isn't a daily flow but a mapping table the integration uses for every invoice.

Off the shelf or custom

Not always. If an existing integration for Simplicate and Moneybird does exactly what you need, we'll tell you.

What already exists

Simplicate offers an accounting integration with Moneybird. It is built and maintained by a Simplicate integration partner, not by Simplicate or Moneybird themselves. It synchronises sales invoices, customer accounts and payments, and when an invoice is marked as paid in Moneybird, that comes back to Simplicate.

For an agency with one administration and a regular invoice flow, that is usually enough. Do check beforehand whether it handles your VAT situations, such as reverse-charge VAT or customers abroad, and how it deals with credit notes and partial payments.

When you need custom work
  • You have several administrations or operating companies, and every invoice has to land in the right Moneybird administration.
  • Partial payments and payment plans need to be visible in Simplicate, not just paid or open.
  • You want a general ledger breakdown per service or per customer that goes beyond the standard mapping.
  • You want to see the margin per project, with hours from Simplicate and purchases from Moneybird side by side.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Flagging an unusual invoice

Before an invoice goes out, AI can compare it with the logged hours, the budget and earlier invoices to the same customer. An invoice twice as high as usual, or hours without a description, go on a list. The project lead decides whether it goes out as it is.

A reminder with context

If an invoice has been open for a long time, AI can draft a reminder with the project name, the period delivered and the contact from Simplicate. Finance or the project lead reviews and sends it. AI sends nothing itself and only sees that one customer's data.

What to watch

Simplicate creates the invoice, Moneybird books it

Don't edit a sent invoice in Moneybird. Make corrections with a credit note in Simplicate, which also goes through the integration. Otherwise the two systems differ and nobody knows which amount is right.

VAT and revenue groups

Every VAT class and revenue group in Simplicate needs a fixed counterpart in Moneybird. Watch out for reverse-charge VAT and supplies within the EU: an invoice with the wrong rate is an error in your VAT return, even if the amount is right.

One numbering sequence

The invoice number is created in Simplicate. Check that this number stays visible in Moneybird and that no second numbering sequence appears for the same invoices.

Partial payments

If you only respond to the paid status, you miss partial payments. Moneybird has a separate webhook for those, for every registered payment. The integration then tracks the outstanding amount per invoice itself.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Sales invoices, Customer accounts, Payment status, General ledger and VAT.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Simplicate creates the invoice, Moneybird books it, VAT and revenue groups, One numbering sequence, Partial payments.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

Who you'll talk to

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Frequently asked questions

Is there a standard integration between Simplicate and Moneybird?

Yes. Simplicate offers an accounting integration with Moneybird, built by a Simplicate integration partner. It synchronises sales invoices, customer accounts and payments, and marks an invoice in Simplicate as paid when that happens in Moneybird.

Which system leads for invoices?

Simplicate. That's where the invoice is created, based on hours, services or a fixed price. Moneybird books it and processes the payment. Make corrections with a credit note in Simplicate, not by editing the invoice in Moneybird.

Does the payment status from Moneybird come back to Simplicate?

Yes. Moneybird can send a webhook when a sales invoice has been paid, and the Simplicate API has an endpoint to register a payment on an invoice. The standard integration also syncs the payment status back.

Can I create invoices in Simplicate through the API and then send them to Moneybird?

You can, but invoices created through the API consist of loose lines with no link to the services on the project, and you can't create instalments through the API. So preferably let invoices originate in Simplicate itself and only connect the booking and the payment.

What do I need to set up for VAT?

A fixed mapping from every VAT class and revenue group in Simplicate to a VAT rate and general ledger account in Moneybird. Test the exceptions in particular: reverse-charge VAT, customers inside and outside the EU, and credit notes.
