Connect Simplicate to your other systems
In Simplicate, the Dutch business software for service firms, quote, project, hours and invoice flow into each other. The customer often comes from another CRM, and the invoice has to go to accounting. Connect them and nobody retypes a won assignment or a sent invoice again.
- Organisations and contacts goes back and forth with Your other systems
- Sales and quotes goes back and forth with Your other systems
- Projects and services goes back and forth with Your other systems
- Hours, leave and expenses goes back and forth with Your other systems
Built for clients including Tata Steel, M&G Investments, Digistore24, Toppers in Concert, Bar-le-Duc and Loogman
This is the data organisations most often let flow between systems. Which of it matters to you depends on where work is getting stuck today.
Organisations and contacts
Customers and their contacts in the Simplicate CRM. If they come from a marketing or sales system, you want them to exist once, not as a separate version in every system.
Sales and quotes
Sales opportunities, quotes and their status. The API can convert a sale into a project, so an accepted quote becomes a project straight away.
Projects and services
Projects with their services, budget and project members. Through the API, you create services with fixed-price or time-based invoicing.
Hours, leave and expenses
Logged hours, leave and expenses per employee. Other systems use them for payroll, planning or post-calculation.
Invoices and payments
Sent invoices, their status and received payments. Accounting needs the invoice, and Simplicate wants to know whether it has been paid.
For each combination: which data moves back and forth, what the standard integration does and what to watch out for.
- Connect Exact Online to SimplicateConnect Exact Online to Simplicate: what Simplicate's own integration does with invoices and payments, how to set up revenue groups, and when you need more.
- Connect Simplicate to HubSpotConnect Simplicate to HubSpot: what the built-in integration does, how a won deal becomes a project, and which system should lead for your customer data.
- Connect Simplicate to MoneybirdConnect Simplicate to Moneybird: invoices and customer accounts go to Moneybird, payment status comes back, and you avoid errors with VAT and numbering.
Not always. If an existing integration for Simplicate does exactly what you need, we'll tell you.
Simplicate has integrations you switch on in the settings. The HubSpot integration is built by Simplicate itself and manages HubSpot mailing lists from the Simplicate CRM. For accounting, there are integrations with Moneybird and others. That one is built by a Simplicate integration partner and synchronises invoices, customer accounts and payments.
Integrations like these are enough if they do exactly what you need: fill a mailing list or book sent invoices. They are narrow. The HubSpot integration, for example, carries email address, first name and last name, and no deals. If you want more, you end up at the API.
- A won deal in another CRM needs to become an organisation, contact and project in Simplicate.
- Hours from Simplicate need to go to a payroll package or planning system, per employee and per period.
- You want to create invoices from outside with instalments or linked to services. The API doesn't support that, so the solution has to be put together differently.
- An AI assistant needs to work with Simplicate, but with fewer permissions than an administrator.
REST API v2
Simplicate has a REST API at the address of your own environment: https://{yourdomain}.simplicate.nl/api/v2/. The API only works over SSL and with JSON. There are endpoints for CRM, sales, projects, hours, HRM and invoices, among others.
API key and secret
You create API tokens in the general settings, under API. Every request sends an Authentication-Key and an Authentication-Secret. Important: a token inherits the permissions of the user it was created for. You can have several tokens, and a deleted token is permanently disabled.
Limits and pagination
Count on at least 60 requests per minute; above that you get a 429 error. Most lists return at most 100 records at a time, after which you page with offset. With select you request only the fields you need, and a filter on updated_at fetches only changes.
Webhooks
Simplicate sends webhooks for events such as a closed project, a service reaching its hours budget, new hours, an approved week, an accepted quote and new organisations or people. Every notification carries an X-Webhook-Signature that you verify with HMAC-SHA256. If your endpoint doesn't respond with a 2xx status, Simplicate may retry.
MCP server for AI tools
Simplicate has its own MCP API at https://{yourdomain}.mcp.simplicate.app/mcp. You create an API key for it with the MCP-use box ticked, and send key and secret as a Bearer token. Simplicate warns that such a key can also make changes in your environment, and that not every AI tool supports this way of authenticating.
An integration moves data. In between, AI can read, sort and prepare a suggestion. Where it matters, a person decides.
Checking hours before invoicing
AI can compare logged hours with the budget and the service description, and flag hours without a clear description or on an unlikely project. The project lead approves before anything is invoiced.
An assistant with limited permissions
Through the Simplicate MCP server, an AI assistant can answer questions about projects, hours and budgets. Because the key inherits the user's permissions, you create a separate user for it that only sees what is needed. Colleagues' HR data is not part of that.
A draft sale from a customer request
AI can turn an email enquiry into a draft sale with the right organisation and service. A salesperson turns it into a quote and sends it. AI sends nothing itself.
A token with admin rights
Because a token inherits its user's permissions, an integration running on an administrator's token sees everything. Use a separate user for each integration, with only the permissions that integration needs.
You don't see deletions
Webhooks don't cover every change, and you only find deleted records by comparing the full set with what you've stored yourself. Do this periodically and request only the id, so you don't hit the limit.
Invoices via the API are loose lines
Invoices you create through the API consist of loose lines, with no link to the services on the project. You can't create or change instalments through the API. So preferably let invoices originate in Simplicate itself.
The first synchronisation takes time
At 60 requests per minute and 100 records per page, fetching years of hours takes a while. Plan the initial load separately and then synchronise only changes.
What goes where
Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Organisations and contacts, Sales and quotes, Projects and services, Hours, leave and expenses, Invoices and payments.
Fields and rules
For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: REST API v2, API key and secret, Limits and pagination, Webhooks, MCP server for AI tools.
Testing with real cases
In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.
Live, with logging and monitoring
Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Does Simplicate have an API?
Yes, a REST API, version 2, at the address of your own Simplicate environment. You authenticate with an API key and secret that you create in the settings. The API has endpoints for CRM, sales, projects, hours, HRM and invoices.
Does Simplicate have webhooks?
Yes. For each target address, you choose which events Simplicate sends a message for, such as new hours, a closed project or an accepted quote. Every message is signed, so you can verify it comes from Simplicate. Not every change has a webhook.
What is the rate limit of the Simplicate API?
Simplicate says you can count on at least 60 requests per minute and returns a 429 error above that. The limit can vary per endpoint. Most lists return at most 100 records per page.
Can I connect an AI assistant to Simplicate?
Yes. Simplicate has its own MCP server that lets AI tools request and use data. The documentation mentions Claude Code, Codex and Cursor among others, and warns that not every AI tool supports authentication with a fixed key. Because the key can also make changes, use a user with limited permissions.
Does Simplicate have standard integrations with HubSpot and Moneybird?
Yes. For HubSpot, Simplicate has its own integration that manages mailing lists. For Moneybird, there is an accounting integration, built by a Simplicate integration partner, for invoices, customer accounts and payments. Deals, projects and hours fall outside both integrations.
