INTEGRATIONSMONEYBIRD + SHOPIFY

Connect Moneybird to Shopify

Your online store runs on Shopify, your accounts in Moneybird. An integration puts every order in your books with the right VAT, turns returns into credit notes and makes sure Shopify Payments payouts match your orders. No more export at the end of the month.

The situation

You see this combination a lot among business owners with a growing online store: Shopify for the store, Moneybird for the books. As long as it's ten orders a week, you retype them. At a hundred a week that no longer works, and mistakes in VAT or shipping costs only surface at the VAT return.

The tricky part isn't the order itself but what happens around it. Shopify Payments doesn't pay out per order but as one amount, with payments, refunds, disputes and fees already netted off. And as soon as you sell to consumers in other EU countries under the One Stop Shop (OSS) scheme, every order needs the VAT rate of the delivery country.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01Order to invoice or external invoiceShopify → Moneybirdwhen an order is paid

Every order becomes an invoice in Moneybird, with product lines, shipping costs, discounts and the right VAT rate per line. If Shopify already sends the customer an invoice, you post the order as an external sales invoice with a link to the order.

  2. 02Customer to contactShopify → Moneybirdon the first order

New customers become contacts in Moneybird. The customer ID from Shopify goes into the customer_id field, so a second order lands on the same contact.

  3. 03Return to credit noteShopify → Moneybirdwhen a refund is issued

A refund in Shopify becomes a credit note in Moneybird that refers to the original invoice.

  4. 04Payout to clearing accountShopify → Moneybirdon every Shopify Payments payout

A payout consists of payments, refunds, adjustments and fees. They go through a clearing account, so every order is matched and the fees show up separately as an expense.

  5. 05Invoice number back to the orderMoneybird → Shopifyafter the invoice is created

The Moneybird invoice number is added as a note or tag on the order in Shopify, so customer service can find it.

Off the shelf or custom

Not always. If an existing integration for Moneybird and Shopify does exactly what you need, we'll tell you.

What already exists

Moneybird doesn't build a Shopify integration itself, but Moneybird's integrations overview lists several from other parties. The one described in most detail there sends orders one way as invoices to Moneybird, including VAT, discounts and shipping costs, turns returns into credit notes and can send Shopify Payments transactions to a clearing account. It supports multiple online stores and sales in multiple EU countries.

For most online stores with an ordinary product catalogue, an integration like that is enough. It gets tight with business customers under the reverse charge, gift cards, bundles with mixed VAT rates or your own rules for general ledger accounts per product group.

When you need custom work
  • You sell to business customers in other EU countries under the reverse charge, alongside consumers under the OSS scheme.
  • You sell gift cards: selling a gift card needs a different entry from selling a product.
  • Bundles or sets contain products with different VAT rates.
  • You want revenue per product group or sales channel on its own general ledger account.
  • You use another payment provider alongside Shopify Payments.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Explaining payouts

If a payout doesn't match the orders, AI works out where the difference lies: a refund, a dispute, fees or an order from an earlier period. You get a matching suggestion with an explanation. You confirm, then it's posted.

Holding back VAT discrepancies

An order with a VAT number from another EU country, or a rate that doesn't fit the delivery country, doesn't go through automatically. AI puts it on a review list with what's different, so you or your bookkeeper can decide.

What to watch

Invoice or external invoice

Choose who creates the invoice and issues the number. If Moneybird creates the invoice, switch off invoice emails or invoicing apps in Shopify. Otherwise the customer gets two invoices with two numbers.

VAT rates per country

For sales to consumers in other EU countries, first create those countries' VAT rates in Moneybird. The integration translates the delivery country in Shopify into the right rate. You file the OSS return outside Moneybird; the VAT overview shows the amounts per country.

Busy days

Moneybird allows 150 API requests per five minutes per IP address. An order quickly takes several requests: find the contact, create the invoice, post the payment. On a peak day, the integration needs to queue orders instead of letting them fail.

Old orders

If you want to read in history, test it in a sandbox administration first, then import in batches. Check beforehand whether your bookkeeper has already processed that period, or you'll post revenue twice.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Order to invoice or external invoice, Customer to contact, Return to credit note, Payout to clearing account, Invoice number back to the order.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Invoice or external invoice, VAT rates per country, Busy days, Old orders.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

Frequently asked questions

Should I put Shopify orders into Moneybird as an invoice or an external invoice?

If Moneybird sends the invoice to the customer, you create a regular sales invoice. If Shopify or an app in Shopify already creates the invoice, you post the order as an external sales invoice and optionally attach the PDF. That way every order has one invoice with one number.

How do I process Shopify Payments payouts in Moneybird?

Post the payout to a clearing account and match the individual orders against it there. Post the fees, refunds and disputes that Shopify has netted off in the payout as separate lines. Then the clearing account comes to zero for each payout.

Is the VAT right when I sell to other EU countries?

Only if the integration picks the delivery country's rate for each order and those rates exist in Moneybird. Moneybird lets you add VAT rates for other EU countries and splits them by country in the VAT overview. You don't file the OSS return through Moneybird.

Can I import my old Shopify orders?

Yes, that's possible through the API, but keep the limit of 150 requests per five minutes in mind. So you import a year of orders in batches, after a test in a sandbox administration. Agree with your bookkeeper which period has already been posted.

Does an integration work with several Shopify stores?

Yes. Record per store which administration and revenue accounts the orders go to, and give each store its own reference on the invoice. The most extensive standard integration in the Moneybird overview also supports multiple online stores.
