INTEGRATIONSMONEYBIRD + CHATGPT

Connect ChatGPT to Moneybird

Which invoices are still outstanding, what does the profit and loss look like this quarter, and can a draft invoice be ready for last week's project? With Moneybird's MCP server, ChatGPT can do that for you. Moneybird is a Dutch online accounting package. Here's how the integration works and what to watch out for.

The situation

Business owners and finance staff often ask their books the same questions: who still owes us, what's the revenue per customer, how does the balance sheet look? With the integration, you ask in plain language and ChatGPT pulls the answer from Moneybird itself, from reports such as the balance sheet and the profit and loss statement.

Moneybird offers two variants: read-only, or read and write. With write access, ChatGPT can create and edit contacts, quotes, sales and purchase invoices, receipts, journal entries and time entries, among other things. Deleting is never possible through the AI integration.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01Outstanding invoicesMoneybird → ChatGPTAt the weekly receivables check

Which sales invoices are outstanding, and with which customers? ChatGPT lists them with the invoice number, so you can find them in Moneybird.

  2. 02ReportsMoneybird → ChatGPTFor a quarterly review or with your accountant

Balance sheet, profit and loss and revenue per contact. ChatGPT reads the figures from Moneybird's reports rather than calculating them itself.

  3. 03Bank transactionsMoneybird → ChatGPTWhen checking your books

Transactions on your bank accounts, to see what hasn't been processed yet or which invoice a payment belongs to.

  4. 04Draft invoice or quoteChatGPT → MoneybirdAfter a finished project or meeting

ChatGPT creates a sales invoice or quote. An invoice gets the status Draft; Moneybird advises checking the lines, VAT rate and contact before you send it.

  5. 05Hours and contactsChatGPT → MoneybirdAfter a working week or a new customer contact

Log hours against a project, or create a new contact from a conversation or email.

Off the shelf or custom

Not always. If an existing integration for Moneybird and ChatGPT does exactly what you need, we'll tell you.

What already exists

Moneybird has an official MCP server with two addresses: read_only for read-only access and read_write for reading and writing. You sign in with OAuth and choose the administration (Moneybird's term for a set of books); a connection always applies to one administration. For every AI connection, Moneybird shows who created it, what access it has and, under 'Recent actions', what has happened. Owners receive an email for every new connection.

In ChatGPT, you add the server as a custom app through developer mode. Moneybird names ChatGPT Plus as the minimum, but according to OpenAI, full MCP support with write actions is available on Business, Enterprise and Edu. There, an admin sets up the app and publishes it to the workspace.

When you need custom work
  • You want fixed automations that always run, such as invoices from your scheduling system; Moneybird recommends the API or the CLI for that, not MCP.
  • The assistant should only see certain fields, such as invoice number and amount without contact details.
  • You work with several administrations and want them in one overview.
  • Moneybird needs to work with another system, such as your CRM or time tracking, in a single step.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Asking questions of your figures

Most of the value is in reading: quick answers to questions that would otherwise take a report and an export. Moneybird advises starting with read-only; for insight and overview, you don't need more.

You or your accountant decides

ChatGPT can create drafts, but bookings, VAT choices and the tax return remain work for you or your accountant. Check every draft invoice before it goes out.

What to watch

Who can connect

Under 'Who can connect', you decide whether other users can create a connection. Moneybird itself never asks for access through such a consent screen: only allow it if you started the connection yourself.

Your data with another party

The AI tool belongs to another party, which decides what happens to the data it requests. So use a business ChatGPT plan, where OpenAI doesn't train by default and a data processing agreement is available.

Check VAT and amounts

According to Moneybird, the technology is still developing and doesn't always work flawlessly. Check the lines and VAT rate on drafts, and have ChatGPT refer to the report or invoice when it gives figures.

Revoking access

If you stop using the integration, or lose a device it runs on, revoke access through Settings and Integrations in Moneybird.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Outstanding invoices, Reports, Bank transactions, Draft invoice or quote, Hours and contacts.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Who can connect, Your data with another party, Check VAT and amounts, Revoking access.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

Who you'll talk to

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Frequently asked questions

Does Moneybird have an official integration with ChatGPT?

Moneybird has an official MCP server that works with AI tools such as ChatGPT, Claude, Cursor and Mistral. In ChatGPT, you add it as a custom app using the address of the read_only or read_write variant and sign in to Moneybird. Moneybird helps with the Moneybird side; you set it up in ChatGPT yourself.

Can ChatGPT delete anything in my books?

No. Deleting is never possible through a Moneybird AI integration. Every action is marked as read or change, and most AI tools ask for permission before making a change.

Can ChatGPT send invoices?

A sales invoice created through the integration gets the status Draft. Moneybird recommends checking the lines, the VAT rate and the contact before you send it. So leave the sending to a person.

What data can ChatGPT read from Moneybird?

With read-only access, ChatGPT retrieves data such as contacts and invoices, plus reports and reference data: balance sheet, profit and loss, revenue per contact, VAT rates, categories, bank accounts and bank transactions. With read and write access, it can also create and edit.

Can I connect several administrations?

A connection applies to one administration, so you create one per administration. Whether several connections work side by side depends on the AI tool. Test that first before you build a way of working on it.
