Connect Moneybird to Mollie
Your customers pay through Mollie, your accounts are in Moneybird. An integration makes sure every payment ends up on the right invoice and that a Mollie payout doesn't sit in your bank as one unexplained amount. That keeps your open items right, without manual matching.
- Payment link for an invoice goes to Mollie
- Payment to invoice comes from Mollie
- Payout to bank comes from Mollie
- Mollie fees to purchases comes from Mollie
- Refunds and chargebacks comes from Mollie
Built for clients including Tata Steel, M&G Investments, Digistore24, Toppers in Concert, Bar-le-Duc and Loogman
Mollie sits behind many online stores, but also behind payment links from service providers, subscriptions and registrations. The money doesn't reach your bank per payment. Mollie collects it on your balance and transfers it according to the payout frequency you've set, with fees, refunds and chargebacks already netted off.
In Moneybird you then see one credit from Mollie against dozens of open invoices. Without an integration, you work out for each payout which invoices are in it. With an integration, the individual payments go through a clearing account, so each invoice is marked as paid by itself and the fees are visible separately.
For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.
- 01Payment link for an invoiceMoneybird → Molliewhen an invoice is sent
For an invoice from Moneybird, the integration creates a payment link in Mollie, with the invoice number as the reference. That way you know for certain later which invoice a payment belongs to.
- 02Payment to invoiceMollie → Moneybirdwhen a payment succeeds
A successful payment in Mollie marks the invoice in Moneybird as paid, posted to the clearing account for Mollie.
- 03Payout to bankMollie → Moneybirdon every payout
The Mollie credit in your bank is posted against the clearing account. The payout details show which payments, refunds and chargebacks it contains.
- 04Mollie fees to purchasesMollie → Moneybirdmonthly
Mollie deducts fees from your balance and, at the start of the month, sends an invoice for the previous month. You post it as a purchase against the clearing account, not again as a payment from your bank.
- 05Refunds and chargebacksMollie → Moneybirdwhen they happen
A refund or chargeback becomes a credit note or a new open item, so you can see which customer got their money back.
Not always. If an existing integration for Moneybird and Mollie does exactly what you need, we'll tell you.
Moneybird's integrations overview lists several Mollie integrations from other parties. How they're described: every night, payouts and transactions are fetched from Mollie and matched to open items. Only a complete match is posted automatically; the rest stays open to check by hand.
If all you want is for customers to pay your invoices online, you may not need a Mollie integration at all. Moneybird has its own online payment methods, such as a payment link on the invoice, where the payment is linked to the right invoice straight away. Mollie still makes sense if your online store or platform already runs on it.
- Payments come from your own platform and have no invoice number in the description, only an order or customer ID.
- You use subscriptions or direct debits through Mollie and want failed direct debits followed up automatically.
- You have several Mollie profiles or balances that belong in different administrations.
- You want chargebacks and disputes to go straight to a colleague as a task.
AI reads, sorts and prepares a suggestion. Where it matters, a person decides.
Payments without a match
If a payment stays open because the amount or reference doesn't fit exactly, AI looks for the likely invoice by name, amount and date. You get a suggestion with an explanation. Only after your approval is it matched.
Monthly check on fees
AI compares the Mollie fees in Moneybird with Mollie's balance report and reports differences, such as fees posted twice or not at all. You or your bookkeeper make the correction.
Post fees once
Mollie normally deducts fees from your balance before the monthly invoice arrives, so by the time you receive it, that invoice has usually already been paid. Post it against the clearing account. If you post it as a purchase invoice still to be paid from the bank, a debt appears that doesn't exist.
A fixed reference
Put the Moneybird invoice number or the contact's ID in the description or metadata of every Mollie payment. Without a fixed reference, matching becomes guesswork on amount and name.
Testing without test mode
Mollie's endpoints for balance, payouts and Mollie invoices don't work in test mode. You can test payments in test mode, but the matching logic for payouts only with real data. So start read-only and only post once the outcome is right.
History
Data from before 1 July 2022 isn't available through Mollie's Balances API. If you still want to reconcile older years, you'll need another source.
What goes where
Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Payment link for an invoice, Payment to invoice, Payout to bank, Mollie fees to purchases, Refunds and chargebacks.
Fields and rules
For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Post fees once, A fixed reference, Testing without test mode, History.
Testing with real cases
In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.
Live, with logging and monitoring
Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Why doesn't a Mollie payout match my invoices?
Because Mollie doesn't pay out per payment. A payout is the balance of payments, minus refunds, chargebacks and fees deducted over a period. By posting the individual payments through a clearing account, you can explain every difference.
Do I need a clearing account for Mollie in Moneybird?
It's the clearest approach. You post payments against the clearing account as soon as they come into Mollie, and post the payout to your bank back out of it. If a balance remains, you know something hasn't been processed.
How do I post Mollie's monthly invoice?
As a purchase, but paid from your Mollie balance and therefore against the clearing account. Mollie normally deducts the fees from your balance already, so the invoice has usually been paid by the time you receive it. Don't post it as an open debt still to be paid from the bank.
Do I need Mollie to let customers pay Moneybird invoices online?
Not necessarily. Moneybird has its own online payment methods, such as a payment link on the invoice, where the payment is linked to the invoice straight away. A Mollie integration mainly makes sense if your online store, platform or subscriptions already run through Mollie.
Can I test the integration first?
Partly. You test payments in Mollie's test mode and in a Moneybird sandbox. The endpoints for balance, payouts and Mollie invoices don't work in test mode, so you test that logic with real data, read-only at first.
