INTEGRATIONSEXACT ONLINE + MOLLIE

Connect Exact Online to Mollie

Your customers pay through Mollie, your books are in Exact Online. On the bank statement you see one Mollie payout, in Exact dozens of open invoices. An integration explains that difference payment by payment, so invoices are marked paid automatically and Mollie's fees show up separately.

The situation

Mollie doesn't pay out per payment. The money goes to your Mollie balance and is paid out with fees, refunds and chargebacks already deducted. The Settlements API shows what each payout contains. The Balances API gives every transaction on your balance, and Mollie recommends it for connecting your accounting.

In Exact Online, the question is also how you post it. Each administration allows 60 calls per minute and 5,000 per day. An online store with hundreds of payments a day only fits within that if the integration bundles payments, rather than creating a separate entry per payment.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01Payment for a sales invoiceExact Online → Molliewhen an invoice is sent

For an invoice from Exact, the integration creates a payment in Mollie, with the invoice number in the description or metadata.

  2. 02Payments in a dedicated journalMollie → Exact Onlinewhen a payment succeeds

The integration posts the payment in a dedicated bank journal for Mollie, with the invoice number on the line. That tells Exact which open item it belongs to.

  3. 03Fees, refunds and chargebacksMollie → Exact Onlinewith every payout

The deducted fees go to a cost account as a separate line, refunds and chargebacks as lines of their own. That way the Mollie journal matches your balance at Mollie.

  4. 04Payout to the bankMollie → Exact Onlinewhen the money reaches the bank

You post the credit on your bank account against the Mollie journal. If a balance remains there, something hasn't been processed.

  5. 05Open itemsExact Online → Molliedaily

The integration reads from Exact which invoices are still open, so a payment without a clear reference still gets a suggestion.

Off the shelf or custom

Not always. If an existing integration for Exact Online and Mollie does exactly what you need, we'll tell you.

What already exists

The Exact Online App Store includes the Mollie reconciliation module by Combidesk, which fetches Mollie payments and matches them to open items in Exact. Check whether such an integration also handles fees, refunds and chargebacks, and how it deals with several Mollie profiles.

If your online store already has its own Exact integration, first check what it does with Mollie payments. Otherwise payments get posted twice.

When you need custom work
  • Payments come from your own platform and only carry an order or customer ID, not an Exact invoice number.
  • You have several Mollie profiles or legal entities that belong in different Exact administrations.
  • You process so many payments that you have to bundle them to stay within Exact's limits.
  • You want failed direct debits or chargebacks to become a task for a colleague straight away.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Payment without a reference

If a payment doesn't match an invoice number, AI looks for the likely open item by name, amount and date, and prepares a suggestion. Matching only happens after approval.

A journal that doesn't balance

If a balance remains on the Mollie journal, AI compares the payout with the posted lines and points out which payment, fee or refund is missing. The bookkeeper corrects it.

What to watch

One place for payments

If your store integration already posts payments in Exact and a Mollie integration does too, every payment appears twice. Choose one integration to post the Mollie payments.

Invoice number as the reference

Bank lines in Exact have a field for the invoice number. That only works if the invoice number is already on the payment in Mollie. Put it in the description or metadata when the payment is created.

Testing only goes halfway

Mollie's settlement endpoints don't work in test mode. You test payments in test mode and on an Exact demo administration; you test payout processing with real data, read-only at first.

History

The Mollie Balances API doesn't contain data from before 1 July 2022. If you want to reconcile older years, you need another source.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Payment for a sales invoice, Payments in a dedicated journal, Fees, refunds and chargebacks, Payout to the bank, Open items.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: One place for payments, Invoice number as the reference, Testing only goes halfway, History.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

Who you'll talk to

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Frequently asked questions

Is there an integration between Mollie and Exact Online?

Yes. The Exact Online App Store includes the Mollie reconciliation module by Combidesk, which fetches Mollie payments and matches them to open items. An integration of your own on the Mollie and Exact APIs is also possible.

Why doesn't a Mollie payout match my invoices in Exact?

Because a payout is the balance of payments, minus refunds, chargebacks and fees. Post the individual payments in a dedicated journal for Mollie, and you can explain every difference.

How does Exact know which invoice a Mollie payment belongs to?

Through the invoice number on the bank line. That does require the invoice number on the payment in Mollie, in the description or metadata. Without a fixed reference, matching comes down to amount and name.

Can an integration with lots of payments stay within Exact's limits?

If you design it for that, yes. Each administration allows 60 calls per minute and 5,000 per day. Bundle payments into one bank entry per day or per payout, rather than one entry per payment.

Can I test the integration between Exact and Mollie first?

Partly. You test payments in Mollie's test mode and on an Exact demo administration. The payout endpoints don't work in test mode, so you test that logic with real data, read-only at first.
