INTEGRATIONSEXACT ONLINE + SALESFORCE

Connect Exact Online to Salesforce

Salesforce often runs at companies with several legal entities or countries, each with its own administration in Exact Online. An integration makes sure a won opportunity lands in the right administration without retyping, and that sales and service can see what has been paid.

The situation

At these companies, Salesforce is the central system for sales and service. Accounts, opportunities, products from price books and contracts all live there. The books are in Exact Online, with an administration per legal entity or per country. So the question isn't only how data gets from Salesforce to Exact, but also which administration it goes to.

Volumes are larger too. You don't sync a Salesforce org with tens of thousands of accounts using individual API calls when Exact allows 5,000 calls per day per administration, and those have to run one after another. The design of the integration determines whether it keeps up with the daily work.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01Account to Exact accountSalesforce → Exact Onlinewith the first won opportunity

A Salesforce account becomes an account in the right Exact administration. The customer number from Exact goes back to the Salesforce account and from then on is the key between both systems.

  2. 02Won opportunitySalesforce → Exact Onlinewhen the stage becomes Closed Won

The opportunity products become lines on a sales order or sales invoice. The integration chooses the administration based on a field in Salesforce, such as the selling entity, and carries over the opportunity's currency.

  3. 03ItemsExact Online → Salesforcewhen an item is created or changed

Items from Exact fill the product catalogue in Salesforce. You then manage price books per market or channel in Salesforce, as long as the item code stays the same.

  4. 04Invoices and outstanding balanceExact Online → Salesforcedaily and after every payment

Invoices and payments from Exact go on the account in Salesforce. When a customer gets in touch, service sees straight away which invoice is outstanding, without access to Exact.

  5. 05Block and credit limitExact Online → Salesforcewhen finance changes an account

If finance blocks an account in Exact or changes the credit limit, sales sees it on the Salesforce account before a new opportunity is closed.

Off the shelf or custom

Not always. If an existing integration for Exact Online and Salesforce does exactly what you need, we'll tell you.

What already exists

The Exact Online App Store lists Salesforce integrations from other vendors. Such an integration is a good start if you have one administration and your opportunity process stays close to the Salesforce standard.

Salesforce orgs are rarely standard. Custom objects, validation rules, approval processes and multiple currencies often mean an off-the-shelf integration doesn't quite fit. Ask beforehand how the integration works with your fields and how it chooses between administrations.

When you need custom work
  • You have several legal entities or countries, each with its own Exact administration.
  • You use custom objects in Salesforce, for example for contracts or installations, that need to land in Exact.
  • You sell in several currencies and want to see those currencies reflected in Exact.
  • You want to push changes immediately with Change Data Capture instead of comparing periodically.
  • You have a lot of history and the initial load has to fit within the Exact limits.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Invoice questions in service

A customer emails about an invoice. An AI step in Salesforce fetches the invoice, payment status and any credit notes from Exact and suggests a reply. The service agent checks it and sends it. Nothing goes back to Exact.

A signal when payment behaviour changes

A model compares how an account pays with its own history. If a large customer suddenly starts paying later as a pattern, the account manager gets a task. Whether the credit limit or terms change is for finance to decide.

What to watch

The right administration

Every Exact call goes to one administration. Record in Salesforce which legal entity is selling and let the integration route on that. If the field is missing, let a validation rule stop the opportunity moving to Closed Won.

Limits at high volumes

Exact allows 60 calls per minute and 5,000 per day per app and per administration, with no parallel calls. Do the initial load with the Bulk and Sync APIs, 1,000 records at a time, and then sync only changes through a queue.

Edition and change events

Change Data Capture, with which Salesforce publishes record changes as events, is available in the Enterprise, Performance, Unlimited and Developer editions. With another edition, the integration compares periodically on the last-modified date.

Leading system per field

Salesforce leads for account structure, contacts and opportunities; Exact for customer number, VAT number, payment terms and everything to do with invoices. Addresses are the trickiest: decide whether the billing address is managed in Salesforce or in Exact.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Account to Exact account, Won opportunity, Items, Invoices and outstanding balance, Block and credit limit.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: The right administration, Limits at high volumes, Edition and change events, Leading system per field.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

Frequently asked questions

Is there a standard integration between Salesforce and Exact Online?

The Exact Online App Store lists Salesforce integrations from other vendors. They suit one administration and a standard opportunity process. With several administrations, custom objects or multiple currencies, you often need an integration of your own.

Can a Closed Won opportunity automatically become an order in Exact?

Yes. The opportunity products become lines on a sales order or sales invoice. Sales orders through the API only exist in the Exact packages for wholesale and manufacturing; in other packages you create a sales invoice or a sales entry.

How do I connect one Salesforce org to several Exact administrations?

Every call to Exact contains the code of one administration. The integration chooses it based on a field in Salesforce, such as the selling legal entity. Accounts and items then have to exist per administration, and a Salesforce account can have its own customer number in each administration.

Does a large Salesforce org fit within the Exact limits?

Usually, if you design the integration for it. Use the Sync API for changed records only, Exact webhooks instead of polling over and over, and a queue that runs calls one after another. If you compare everything again every night, you hit the wall at 5,000 calls per administration per day.

Can service see in Salesforce which invoices are outstanding?

Yes. The integration reads invoices and outstanding items from Exact and puts them on the account. Service and sales then see what is outstanding, without needing an Exact account.
