INTEGRATIONSEXACT ONLINE + WOOCOMMERCE

Connect Exact Online to WooCommerce

WooCommerce runs on your own WordPress site, with the plugins and payment providers you choose. That gives freedom, and it also means every WooCommerce store is different. So an integration with Exact Online has to fit your VAT settings, your payment provider and your order statuses.

The situation

In WooCommerce, you choose whether prices are entered including or excluding VAT, which address VAT is calculated on, which payment provider collects the money and whether a plugin creates invoices. For your books, that means the integration has to know exactly what an order amount means before it posts it to Exact.

The money comes in through your payment provider, not through WooCommerce. WooCommerce knows an order has been paid, but not what fees the provider deducted or when it paid out. That data comes from the provider, and it looks different for each one.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01OrdersWooCommerce → Exact Onlineat the order status you choose, for example completed

WooCommerce reports new and changed orders through a webhook. The integration posts the order in Exact with the order number as reference and the VAT code that matches rate and country. If a plugin creates the invoice, it becomes a sales entry, not a second invoice from Exact.

  2. 02RefundsWooCommerce → Exact Onlinewhen a refund is created

WooCommerce records refunds per order, with VAT per line. The integration posts them as a credit entry that refers to the original order.

  3. 03Provider paymentsWooCommerce → Exact Onlinewith every payout

The integration fetches the payout and transactions from your payment provider and posts them in a separate journal for that provider. That way you see in Exact which orders have been paid and what the provider charged.

  4. 04StockExact Online → WooCommercewhen stock in Exact changes

With an Exact package for wholesale or manufacturing, the stock position per item goes to the product in WooCommerce through the REST API.

  5. 05ItemsExact Online ↔ WooCommercewhen a new product is added

Product copy and photos stay in WooCommerce, item code and cost price in Exact. The SKU in WooCommerce equals the item code in Exact.

Off the shelf or custom

Not always. If an existing integration for Exact Online and WooCommerce does exactly what you need, we'll tell you.

What already exists

The Exact Online App Store lists several WooCommerce integrations from other vendors. They sync orders, customers, items and stock with Exact. With one administration, a common payment provider and few plugins that tinker with orders, they often do the job.

Watch out for plugins that change orders: subscriptions, bundles, surcharges per payment method, custom fields. A standard integration sees the order as WooCommerce delivers it, not what the plugin meant by it. So test with real orders from your own store.

When you need custom work
  • You use plugins for subscriptions, bundles or composite products that build the order differently.
  • Business customers buy on account, with their own customer account and payment terms in Exact.
  • You work with several payment providers or also sell in a physical shop.
  • You want the integration to run outside WordPress, so a plugin update doesn't bring it to a halt.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Explaining VAT differences

At the end of the month, an AI step compares revenue per VAT rate in WooCommerce with Exact and points to the orders where the difference arises, with a suggested correction. The bookkeeper decides whether it goes through.

Completing new products

A new product in WooCommerce often lacks an item group or revenue account for Exact. AI suggests one based on similar items. An employee confirms before the item is created in Exact.

What to watch

Including or excluding VAT, and rounding

WooCommerce can have prices entered including or excluding VAT, and round VAT per line or on the subtotal. Exact calculates with VAT codes. Set both up so they arrive at the same amounts, and test orders with a discount and two rates.

The right order status

Don't post every order the moment it's created; it can still fail or be cancelled. Choose the status at which the integration posts, and decide what happens if an order is cancelled afterwards.

Keys for the REST API

The WooCommerce REST API works with a consumer key and secret, with read, write or read/write permissions. Use HTTPS, give the key only the permissions it needs, and create a separate key per integration that you can revoke on its own.

VAT based on the delivery address

For sales to consumers in other EU countries, WooCommerce must calculate VAT on the customer's country, and Exact must post it to an OSS VAT code per country. Set WooCommerce to calculate on the shipping address, so both systems use the same country.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Orders, Refunds, Provider payments, Stock, Items.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Including or excluding VAT, and rounding, The right order status, Keys for the REST API, VAT based on the delivery address.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

Frequently asked questions

Can I connect WooCommerce to Exact Online?

Yes. The Exact Online App Store lists several WooCommerce integrations from other vendors. Using the WooCommerce REST API and webhooks and the Exact API, you can also build your own integration that runs outside your WordPress site.

Why don't the VAT amounts match between WooCommerce and Exact?

First look at rounding and at the setting for prices including or excluding VAT. WooCommerce can round per line or on the subtotal; Exact calculates with VAT codes. A test order with a discount and two VAT rates shows where the difference arises.

Does the integration have to run as a plugin on my site?

No. A plugin is possible, but an integration outside WordPress has advantages: an update or outage on your site doesn't stop your bookkeeping, and access to Exact isn't stored on your web server. It works just as well through the WooCommerce REST API and webhooks.

How do my payment provider's fees get into Exact?

Not through WooCommerce: it only knows that an order has been paid. The integration fetches payouts and transaction fees from the provider itself and posts them in a separate journal per provider. You then match the bank credit against the payout.

Can stock from Exact be sent to WooCommerce?

Yes, if your Exact package offers stock positions through the API; those are the packages for wholesale and manufacturing. The integration updates stock per SKU through the WooCommerce REST API.
