What is an AI phone assistant?

An AI phone assistant, also called an AI receptionist or AI voice agent, is software that answers the phone and holds a conversation with the caller in everyday language. It answers standard questions, books or moves appointments in the calendar, takes callback requests and puts callers through to the right colleague. After the call it adds a summary to the CRM or helpdesk. Unlike a voicebot with a phone menu, it understands what the caller says, even when they phrase it differently. Your Tech Club builds phone assistants that work with the telephony, calendar and systems an organisation already uses, and is ISO 27001 and ISO 9001 certified.

Sound familiar?

Three situations we hear about from organisations looking at an AI phone assistant.

The phone rings when nobody can answer

After closing time, over lunch or when everyone is already on a call. The caller gets voicemail, leaves no message and rings the next company.

The receptionist vacancy is still open

Until someone starts, colleagues answer the phone in between their own work. Every call pulls someone away from what they were doing.

What the caller said isn't written down anywhere

A callback request on a sticky note, an appointment that never made it into the calendar. Whoever calls back has to ask the whole story again.

Recognise one of these situations?

Explained

The four questions that matter most up front.

What does an AI phone assistant do?

It picks up, asks what the caller needs and handles whatever is clear-cut. The answers come from information you provide, such as opening hours, how you work and frequently asked questions, and from the systems it has access to.

Whatever it can't handle, it passes on: to the right colleague if they're available, or as a callback request with the reason attached if they're not.

  • Answering calls, including out of hours and at busy times
  • Answering standard questions
  • Taking a callback request, with the reason attached
  • Booking or moving an appointment in the calendar
  • Putting the caller through to the right colleague
  • Summarising the call in your CRM or helpdesk

What does a person keep doing?

The conversations where a person makes the difference: a complaint, a customer who is angry or upset, a question you need to get to the bottom of before you have an answer. And anything where someone makes a decision with consequences, such as making an exception or agreeing a price.

The assistant is there to catch the rest, so your colleagues have time for those conversations. Callers can always ask for a person, and the assistant then puts them through.

  • Complaints and emotional conversations
  • Questions that need looking into first
  • Exceptions and agreements with consequences

Voicebot or AI phone assistant: what's the difference?

Voicebot often means a phone menu: press 1 for sales, press 2 for support. That works when callers know exactly what they want and it fits a box. An AI phone assistant holds a conversation: callers explain in their own words what they need, and the assistant understands even when it's phrased differently.

The second difference: an AI voice agent can act. It puts an appointment in the calendar or a note in the CRM, rather than just sending the caller to the right queue. If a good phone menu is enough for your callers, that's cheaper, and we'll say so.

  • Phone menu: the caller picks from fixed options
  • AI phone assistant: the caller explains in their own words
  • The assistant also acts in your systems

When is an AI phone assistant not the right fit?

If most calls are complex or emotional, an assistant on the phone is no improvement. Think of callers in a difficult situation, or questions where every answer is different. Then an assistant can at most help with the overflow.

And if the answer isn't written down anywhere, an assistant can't give it. Then the first step is getting that knowledge on paper. With only a handful of calls a week, a good callback arrangement is often enough.

  • Most calls are complex or emotional
  • The answers aren't written down anywhere yet
  • Only a few calls come in each week
The first choice

Start with the calls you get today

A phone assistant isn't a goal in itself. We start with the calls you get now: what do people ring about, when, and what happens next? That determines which calls the assistant can handle, which it passes on and which always belong with a colleague.

Sometimes the outcome is that an assistant only answers out of hours or at busy times. Sometimes it's that a better phone menu or a fixed callback arrangement is enough. If so, we'll tell you.

Integrations

Works with your phone system, calendar and CRM

An assistant that only talks just pushes the work to later. That's why we connect it to the systems the call needs to change something in. Calls come in through your phone system or VoIP telephony, which is also how it puts callers through. It books appointments in Outlook or Google Calendar. It adds the call summary to your CRM, such as HubSpot, Salesforce or Pipedrive, or to your helpdesk, such as TOPdesk or Zendesk.

We can integrate any system you use. For each system we set out what the assistant may read and what it may change.

  • Calls and transfers through your own phone system
  • Appointments in Outlook, Google Calendar or your own scheduling
  • Call summary in your CRM or helpdesk

Privacy

Recording, transcripts and retention: agreed up front

A phone call contains personal data, and sometimes more than that. So before go-live we set out what happens to every call. Callers hear at the start that they are talking to an AI assistant. If the call is recorded or transcribed, they hear that too, and it only happens if you have a lawful basis for it.

For each kind of data we agree what is kept, where and for how long: the recording, the transcript, the summary in the CRM. The assistant asks for no more than the call needs. We make those agreements together with whoever is responsible for privacy in your organisation.

  • Callers know they are talking to an AI assistant
  • Recording only with notice and a lawful basis
  • Retention period for each recording, transcript and summary

What you get from us

An assistant that genuinely helps your callers, with the oversight that goes with it.

We start with your calls

What do people ring about and what happens next? That determines what the assistant does, not a list of features.

Connected to what's already running

Your phone system, calendar and CRM or helpdesk stay the foundation. The assistant works inside them, with permissions for each system.

A colleague takes over where needed

For each kind of call it's set out when the assistant puts the caller through. Callers can always ask for a person. Your Tech Club is ISO 27001 and ISO 9001 certified.

Every call can be read back

For each call it's recorded what the caller asked and what the assistant did, within the retention periods you agreed.

Trial calls first, then live

We test with your team on real questions, including the tricky ones. The assistant then often starts with part of the calls, such as after closing time.

Yours, not a vendor's

The call rules, the instructions and the integrations stay yours. You aren't tied to a single provider.

Approach

First the calls and the limits, then the integrations, then trial calls. How long it takes depends on the number of call types and systems.

  1. 01

    Map the calls

What do people ring about, when, and what happens next? Together we choose which calls the assistant takes on first.

  2. 02

    Call rules and limits

What the assistant says, when it puts callers through and what it records. This is also where we agree on recording, transcripts and retention periods.

  3. 03

    Integrate

Phone system, calendar and CRM or helpdesk. For each system we set out what the assistant may read and change.

  4. 04

    Trial calls with your team

Your colleagues call the assistant with real questions, including the tricky ones and in the languages your callers speak. Whatever doesn't go well, we adjust before it goes live.

  5. 05

    Live in stages

Often after closing time or at busy moments first, then for more calls. We keep an eye on which calls get put through or dropped.

After go-live

  • MonitoringWe track which calls get put through or dropped, and where callers get stuck.
  • EvaluationNew answers or instructions are tested on the same trial calls first.
  • Privacy and accessRetention periods are followed and permissions follow the roles in your organisation.
  • ExpandingNew kinds of calls are added once the first ones run well.

Frequently asked questions

What is an AI receptionist?

An AI receptionist is an AI phone assistant that answers calls the way a receptionist would: it asks what the caller needs, answers standard questions, books or moves an appointment, takes a callback request or puts the caller through to the right colleague. After the call it adds a summary to your CRM or helpdesk, so your team knows what was discussed.

Can AI answer the phone?

Yes. An AI phone assistant picks up, holds a conversation in everyday language and handles whatever is clear-cut: a question about opening hours, moving an appointment, a callback request. Anything that isn't, such as a complaint or a tricky question, it puts through to a colleague. Callers hear at the start that they are talking to an AI assistant, and they can always ask for a person.

What is the difference between a voicebot and an AI phone assistant?

Voicebot often means a phone menu: press 1 for sales, press 2 for support, or a system that only recognises set phrases. An AI phone assistant holds a conversation. It understands what the caller says, even when they phrase it differently, and it can act in your systems, such as putting an appointment in the calendar. The word voicebot is now used for both. If a good phone menu is enough for your callers, we'll tell you.

Can an AI phone assistant replace a receptionist?

Part of the job, not the whole role. An AI phone assistant handles the clear-cut calls, including outside office hours and when everyone is already on the phone. A front desk does more than answer the phone: welcoming visitors, dealing with complaints, working out what someone really needs. Often the assistant takes the overflow and the evening hours, while your colleagues handle the conversations where a person makes the difference.

What does an AI phone assistant cost?

It mainly depends on how many kinds of calls the assistant has to handle, which systems it works with (phone system, calendar, CRM or helpdesk) and how many exceptions there are. An assistant that takes callback requests out of hours is a different project from one that books appointments across several calendars. On our cost page for AI agents you answer a few questions and get a reasoned estimate.

Does an AI phone assistant work with our phone system?

That depends on your phone system. With VoIP and cloud telephony you can usually forward calls to the assistant, for example after closing time or when nobody picks up within a few rings. Putting a caller through to a colleague then goes through the same system. How that works with your setup is something we work out in the first conversation, before anything is built.

Can an AI phone assistant record calls, and what about the GDPR?

A call may only be recorded or transcribed if the caller is told beforehand and you have a lawful basis for it. We agree those points before the assistant goes live: whether calls are recorded, what goes into the transcript and the summary, where it is stored and how long it is kept. The assistant asks for no more information than the call needs. Your Tech Club is ISO 27001 certified; that covers how we work and does not replace agreements with your own data protection officer.

Can an AI phone assistant book appointments in our calendar?

Yes. The assistant checks which slots are free, suggests a few and books the appointment, or moves an existing one. That works with Outlook (Microsoft 365) or Google Calendar, or with the scheduling in your own system. Which calendars it may see and what it may change is set for each calendar.

Does an AI phone assistant speak other languages?

An assistant can hold conversations in more than one language. Which languages work well enough for your callers is something we test with trial calls before it goes live. If a language doesn't work well enough, it puts those callers through rather than helping them halfway.
