Hiring someone new is the fun part. The twenty tasks around it are not, and they are the same every time.

Contract, signature, personal details, laptop, accounts, access pass, induction schedule, introductions to the team.

The Onboarding Assistant starts the sequence, chases what stalls and flags anything that will not be ready on day one.

What it does, step by step

  1. Receive the new starterName, job title, start date, department and manager.
  2. Assign tasksTo HR, IT, facilities and the manager, each with its own deadline.
  3. Collect documentsSigned contract, ID details and whatever else is needed.
  4. Track progressWhat is done, what is in progress, and what will miss the start date.
  5. Prepare day oneInduction schedule, introductions and a message to the team.

What runs automatically and what does not

You stay in control.

Not every decision should be made automatically. For each workflow, we set out:

  • What can happen automatically.
  • What is put forward for approval first.
  • When a person is brought in.
  • What information is stored.
  • How actions are logged.

Is this a fit for your organisation?

A good fit if

  • Organisations that hire regularly.
  • Businesses where onboarding spans several departments.
  • Situations where new people spend day one waiting.

Less of a fit if

  • Organisations with only a few new hires a year.
  • The induction itself: that is work for colleagues and precisely what you should not automate.

What it can deliver

  • New hires who can get started on day one.
  • Less HR time spent chasing loose ends.
  • A consistent onboarding that does not depend on who happens to run it.

Directions, not promises. As soon as there is evidence from a client project, it will appear here as a substantiated result.

Frequently asked questions

What can an AI employee do when onboarding new colleagues?

The admin and the coordination around it: assigning tasks, collecting documents, tracking deadlines and flagging what will not be ready in time. The induction itself stays human work, and it should stay that way.

How much time does onboarding automation save?

Figures of forty to sixty per cent less admin time are quoted in the market for this kind of project. What it means for you depends on how many steps you now do by hand and how many departments they span. We measure it during the project rather than promise it upfront.

Does this work with AFAS or our ATS?

Yes. The new starter comes from the system where you already record them, so no second list appears.

Does it send employment contracts itself?

It can prepare the contract and track the signing process. We usually leave the sending itself with HR, because a contract is a legal document, not a standard email.

What happens to the new hire's personal data?

It stays in the systems where it belongs. The assistant does not move personal data into its own storage. What it fetches and how long that is kept, we agree per implementation.

How to put this to work

  2. 2Set up on your rulesIntegrations with your own systems, and agreeing what may run automatically and what a person approves.
  3. 3Measure and adjustFirst alongside your team, only then on its own. We look at what it delivers and adjust.
