Profile

A partial delivery, a substitute item or a delivery date that slips: all normal, and all invisible until the invoice does not match.

The Delivery Discrepancy Monitor puts the purchase order, the order confirmation and the delivery note side by side, and reports where they diverge.

That saves finance correction work, and it also shows purchasing which suppliers deviate time and again.

What it does, step by step

  1. Record the orderWhat was ordered, at what price and with which agreed delivery date.
  2. Compare the confirmationIf the order confirmation differs from the order, that is the first signal.
  3. Check the deliveryDelivery note against the order: quantities, items and date.
  4. Report the differenceTo purchasing, with all three documents attached, so the conversation with the supplier sticks to the facts.
  5. Show patternsWhich suppliers deviate more often, and on what.

What runs automatically and what does not

You stay in control.

Not every decision should be made automatically. For each workflow, we set out:

  • What can happen automatically.
  • What is put forward for approval first.
  • When a person is brought in.
  • What information is stored.
  • How actions are logged.

Is this a fit for your organisation?

A good fit if

  • Wholesalers, manufacturers and installers with many purchase orders.
  • Organisations where discrepancies only show up during invoice checking.
  • Situations with many partial deliveries.

Less of a fit if

  • Services with no physical delivery.
  • Organisations that do not record order confirmations: the middle step is missing.

What it can deliver

  • Discrepancies known before the invoice arrives.
  • Fewer correcting entries afterwards.
  • Evidence for the conversation with a supplier.

Directions, not promises. As soon as there is evidence from a client project, it will appear here as a substantiated result.

Frequently asked questions

How is this different from invoice checking?

Invoice checking looks back, once the invoice is in. This AI employee looks at the order confirmation and the delivery, when you can still adjust or call the supplier. In practice, together they catch most issues.

Can it process paper delivery notes?

Yes, from a scan or a photo. How well it reads them depends on how legible the delivery note is; anything it cannot read reliably, it refers instead of guessing.

Does this work with partial deliveries?

Yes, and that is where it is most useful. It tracks what has already arrived from an order and what is still outstanding, instead of judging the order as a whole as right or wrong.

Does this help purchasing too?

Yes. Over a longer period you see which suppliers consistently deliver late or deliver something other than what was confirmed. That is exactly the kind of evidence a supplier review usually lacks.
