A shipment held up because one document is missing costs more than preparing that document ever did.

The Shipping Documents Handler tracks which documents each shipment needs, what has come in and what is missing.

It fills in nothing it is not sure about. With customs and transport documents, a mistake costs more than a question.

What it does, step by step

  1. Identify the shipmentDestination, type of goods and carrier determine which documents are needed.
  2. Build the checklistPer shipment, based on your own rules and the destination.
  3. Collect documentsFrom the inbox, from the customer or from the carrier.
  4. Check for completenessMissing fields, expired certificates, details that differ between documents.
  5. Request what is missingFrom the right party, with a reminder if it does not arrive.

What runs automatically and what does not

You stay in control.

Not every decision should be made automatically. For each workflow, we set out:

  • What can happen automatically.
  • What is put forward for approval first.
  • When a person is brought in.
  • What information is stored.
  • How actions are logged.

Is this a fit for your organisation?

A good fit if

  • Businesses that ship internationally.
  • Organisations with document requirements that vary by destination.
  • Situations where shipments regularly get stuck on paperwork.

Less of a fit if

  • Purely domestic transport with a short, fixed set of documents.
  • Preparing customs declarations themselves: that stays with your freight forwarder or customs broker.

What it can deliver

  • Fewer shipments held up by a missing document.
  • Knowing sooner that something is missing.
  • A consistent picture of which documents keep arriving late.

Directions, not promises. As soon as there is evidence from a client project, it will appear here as a substantiated result.

Frequently asked questions

Can AI fill in customs documents?

We do not let it submit them on its own. It collects, checks for completeness and flags what is missing. The declaration itself stays with your freight forwarder or customs broker, because that is where the liability lies.

How does it know which documents a destination requires?

From the rules you set, per country, type of goods and carrier. Those rules change, so we also agree who keeps them up to date. An AI checking against outdated rules is worse than no check at all.

Can it check whether certificates are valid?

Yes, on date and on the fields you have defined. Checking whether a document is genuine is something else, and it does not do that.

Does this work with our freight forwarder?

Yes. In practice that is often the whole point: the assistant makes sure the forwarder receives a complete set, so no time is lost there chasing details.

How to put this to work

  1. 1A short callTogether we look at your process and your systems, and whether this task is the best place to start.
  2. 2Set up on your rulesIntegrations with your own systems, and agreeing what may run automatically and what a person approves.
  3. 3Measure and adjustFirst alongside your team, only then on its own. We look at what it delivers and adjust.
