Profile
A quote nobody follows up is wasted work. Yet follow-up is the first thing to slip when things get busy.
The Quote Follow-up Assistant keeps track of which quotes are open, for how long, and when the customer was due to respond.
It sends the follow-up you agreed on and passes the cases that need a conversation to the account manager.
What it does, step by step
- Pull open quotesFrom the CRM, with amount, date and expected decision date.
- Set the follow-up momentIn your own rhythm, taking into account what has happened since.
- Send the follow-upShort, specific and with the quote attached.
- Process the responseInterest, a delay or a rejection is recorded in the CRM.
- Ask for attentionLarge amounts, quotes that have gone quiet and customers who do not respond.

What runs automatically and what does not
You stay in control.
Not every decision should be made automatically. For each workflow, we set out:
- What can happen automatically.
- What is put forward for approval first.
- When a person is brought in.
- What information is stored.
- How actions are logged.
Is this a fit for your organisation?
A good fit if
- Organisations with lots of open quotes per account manager.
- Businesses where follow-up currently depends on someone's memory.
- Situations with a predictable decision period.
Less of a fit if
- Large deals with a fixed point of contact and a known decision-maker.
- Public tenders, where the procedure sets the pace.
What it can deliver
- Quotes that get followed up, even in a busy week.
- A more up-to-date view of the sales pipeline.
- Fewer quotes that quietly expire.
Directions, not promises. As soon as there is evidence from a client project, it will appear here as a substantiated result.
Frequently asked questions
When does an AI employee follow up on a quote?
In the rhythm you set, taking into account what has happened since. If the customer has emailed in the meantime or opened the quote, that is a reason to follow up sooner, or differently.
Won't a follow-up email like that read as spam?
That depends on what you let it send. We write the follow-up together with your sales team and keep it short and specific, with a real question. Three generic reminders in a row is indeed worse than nothing.
What happens with large quotes?
By default we set those to flag rather than follow up automatically. A large amount calls for an account manager on the phone, not an email.
Does this work with HubSpot or Salesforce?
Yes. The quote, the status and the contact moments come from your CRM and go back into it, so the pipeline stays accurate without anyone having to update it.
