Profile
From new lead to relevant follow-up, without anyone having to pick apart every enquiry by hand.
New leads come in through forms, ads, email and other channels. But following up quickly takes time.
The Lead Responder gathers the available information, assesses the enquiry and helps sales decide what the next step should be.
What it does, step by step
- Receive the new leadTriggered by, for example, the website, the CRM or a mailbox.
- Gather contextPull in company details, previous communication and available CRM information.
- QualifyAssess the enquiry against criteria agreed in advance.
- Prepare the follow-upPropose a reply, a follow-up question or a meeting.
- Update the CRMRecord a summary, the status and the next action.
- EscalateWhen human judgement is needed, the lead goes to a member of the team.

What runs automatically and what does not
You stay in control.
Not every decision should be made automatically. For each workflow, we set out:
- What can happen automatically.
- What is put forward for approval first.
- When a person is brought in.
- What information is stored.
- How actions are logged.
Is this a fit for your organisation?
A good fit if
- You receive new leads on a regular basis.
- Response time matters.
- Sales spends a lot of time on initial qualification.
- Information is spread across different systems.
- Much of the first contact follows recognisable patterns.
Less of a fit if
- Only a handful of leads come in each month.
- Every lead needs in-depth specialist advice from the very first contact.
- The information needed is barely available digitally.
- The process changes every week.
What it can deliver
- Faster first response
- Less manual CRM work
- More consistent qualification
- Fewer missed follow-ups
- More time for valuable sales conversations
Directions, not promises. As soon as there is evidence from a client project, it will appear here as a substantiated result.
Frequently asked questions
How quickly does an AI employee respond to a new lead?
As soon as the lead comes in through the form, the mailbox or an ad channel. There is no queue in between: the trigger is the enquiry itself. What happens next, sending a confirmation, enriching the lead or qualifying it straight away, is agreed step by step.
Can an AI employee qualify leads without sales missing anything?
Yes, as long as you define in advance what qualification means. We configure the criteria together with sales and always pass borderline cases on to a person. Not qualifying a lead is safer than rejecting it wrongly.
Does this work with HubSpot, Salesforce or Pipedrive?
Yes. The integration runs through your CRM's API. Which fields are filled in and updated is decided in the design, so you do not end up with duplicate or half-completed records.
What happens if the AI does not know the answer?
It escalates. For each process we set out when that happens and to whom. An AI employee that is unsure should not guess; it should hand over.
Does this replace a salesperson?
No. It takes over the first few minutes and the admin, so your salespeople get to the conversation instead of picking apart forms.
