Connect Business Central to Shopify
For Business Central and Shopify, Microsoft has built an integration itself: the Shopify Connector. It moves items, stock, customers and orders between your ERP and your online store without retyping. Here you'll read what the connector handles out of the box, what to watch out for and when you need something alongside it.
- Items and prices to Shopify goes to Shopify
- Stock to Shopify goes to Shopify
- Customers and companies goes back and forth with Shopify
- Orders to sales documents comes from Shopify
- Shipment to Shopify goes to Shopify
Built for clients including Tata Steel, M&G Investments, Digistore24, Toppers in Concert, Bar-le-Duc and Loogman
You see this combination at growing brands and wholesalers that run finance, purchasing and stock in Business Central and sell through Shopify, sometimes with several stores for different countries or a B2B store for business customers. Business Central is then the source for items, prices and stock; the order is created in Shopify.
Because the connector is Microsoft's own and comes preinstalled in new Business Central environments, almost everyone starts with it. The questions come later: why the VAT on the sales order is slightly different from Shopify, why Shopify payouts aren't in the general ledger, and how to add extra fields or a second sales channel.
For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.
- 01Items and prices to ShopifyMicrosoft Dynamics 365 Business Central → Shopifyon a change in Business Central
Items go to Shopify with images, variants, barcodes and translations. Prices can come from customer price groups and discounts in Business Central.
- 02Stock to ShopifyMicrosoft Dynamics 365 Business Central → Shopifythrough the job queue
Stock levels from one or more locations in Business Central go to Shopify, including to several Shopify locations.
- 03Customers and companiesMicrosoft Dynamics 365 Business Central ↔ Shopifyon an order or change
Customers and B2B companies sync in both directions. The connector matches customers on phone and email, and companies on VAT or registration number.
- 04Orders to sales documentsShopify → Microsoft Dynamics 365 Business Centralstraight after a new order, with Auto Sync Orders
An order that still needs to ship becomes a sales order. An order that's already been fulfilled can become a sales invoice straight away. Shipping costs, gift cards and tips go to the accounts you set up.
- 05Shipment to ShopifyMicrosoft Dynamics 365 Business Central → Shopifywhen the shipment has been posted
Shipping information goes back to Shopify, so the customer gets a shipping confirmation and the order shows as fulfilled.
- 06Payouts for informationShopify → Microsoft Dynamics 365 Business Centralwith the Sync Payouts action
If you use Shopify Payments, the connector fetches the payouts. According to Microsoft, they are for information only and don't post anything to the general ledger or bank.
Not always. If an existing integration for Microsoft Dynamics 365 Business Central and Shopify does exactly what you need, we'll tell you.
The Shopify Connector is Microsoft's and comes preinstalled in new environments and trials. It supports multiple stores, each with its own settings, and runs syncs through the job queue. You decide whether it may automatically create unknown items, customers and sales documents.
For most stores, the connector is a good foundation. Custom work comes alongside it, not instead of it: for data it doesn't know about, for extra channels, or for a check before an order reaches the warehouse.
- You have custom fields or tables in Business Central that need to be visible in Shopify, or the other way round.
- Bundles in Shopify need to come into Business Central as a bill of materials or assembled item.
- You also sell through marketplaces or a second platform and want the same order logic.
- Payouts need to appear automatically as entries in your bank reconciliation.
- Orders need to pass a check first, for example for fraud or price deviation, before they become a sales order.
AI reads, sorts and prepares a suggestion. Where it matters, a person decides.
Explaining VAT differences
Business Central recalculates VAT when it creates the sales document. AI compares that with the tax lines that came from Shopify and puts differences to finance, with the likely cause: a missing setting, a reduced rate or a delivery country.
Reconciling payouts
AI compares a Shopify payout with the payment transactions and the bank line, and suggests how the difference is explained: fees, refunds or disputes. A team member confirms the suggestion before anything is posted.
VAT is recalculated
The tax details from a Shopify order are recalculated when the sales document is created. If your VAT settings in Business Central aren't right, the invoice will differ from what the customer paid in Shopify. Check them before go-live for every country you deliver to.
Payouts don't post anything
In the connector, Shopify Payments payouts are information only. For your bank reconciliation you post the credit yourself, using the transactions and payouts as an aid.
Testing without damage
Microsoft advises against connecting a Shopify test store to a production environment, because the connector can create or change items, customers and sales documents. Test in a sandbox or a copy of your company. If you test with your real store, switch off syncing to Shopify.
Automatic creation
Switch Auto Create Unknown Items and Auto Create Unknown Customers on or off deliberately. On means less manual work, but also that a typo in Shopify becomes a new item or a new customer in Business Central.
What goes where
Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Items and prices to Shopify, Stock to Shopify, Customers and companies, Orders to sales documents, Shipment to Shopify, Payouts for information.
Fields and rules
For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: VAT is recalculated, Payouts don't post anything, Testing without damage, Automatic creation.
Testing with real cases
In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.
Live, with logging and monitoring
Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

Does Business Central have a standard integration with Shopify?
Yes. Microsoft provides the Shopify Connector, which comes preinstalled in new Business Central environments and trials. You connect a store through the Shopify Shop card in Business Central. The connector supports multiple stores.
Why does the VAT in Business Central differ from Shopify?
Because Business Central recalculates VAT when it creates a sales document, based on its own VAT settings. You can still see the tax lines from Shopify on the order. Check your VAT settings per country and customer type.
Does the connector post Shopify Payments payouts?
No. Payouts are fetched for information and, according to Microsoft, have no effect on the general ledger or bank. They do help when processing your bank statement. If you want them posted automatically, that's an addition to the connector.
Can I connect several Shopify stores?
Yes. Each store gets its own Shopify Shop card in Business Central with its own settings, such as currency, locations and prices. That way you can connect a separate store per country or for B2B, for example.
How do I test the Shopify integration safely?
The safest way is a Business Central sandbox with a Shopify trial or development store. Microsoft advises against connecting a test store to your production environment, because the connector can create items, customers and orders. A copy of your company is an alternative.
