Connect Salesforce to Shopify

If you sell through account managers and through a Shopify store, you want to see in Salesforce what a customer orders online. And you want agreements made in Salesforce, such as custom prices for a business customer, to apply in the store too. Salesforce has its own building blocks for this, but not an integration that works without configuration.

The situation

A familiar situation: regular business customers order themselves in a Shopify store, while account managers work in Salesforce. Without an integration, the account manager doesn't know a customer has started ordering less, and the store doesn't know that customer has just agreed new prices.

The same applies to consumer brands with customer service in Salesforce. The service agent wants to see straight away what someone ordered, and marketing wants to know who buys online. Shopify is then the source for orders, Salesforce for the relationship.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01CustomersShopify → Salesforcefor a new customer or first order

A Shopify customer becomes a contact on an account, or a person account if you sell to consumers. Search by email address first, so existing relationships aren't created twice.

  2. 02OrdersShopify → Salesforcewhen an order is paid

The order comes into Salesforce as an order with line items, or as a summary on the account. Choose what your team needs: line items for service, totals and frequency for account managers.

  3. 03Business accountsSalesforce → Shopifywhen an account is created or changed

A business customer in Salesforce becomes a company in Shopify, with the contacts who are allowed to order. So nobody has to enter it again in Shopify.

  4. 04Pricing agreementsSalesforce → Shopifywhen an agreement is created or changed

Customer-specific prices from Salesforce go to a catalogue in Shopify, with a price list for that customer's locations. The customer then pays online what the account manager agreed.

  5. 05Marketing consentShopify → Salesforceat checkout or when it changes

Customers say whether they want to receive email at checkout in Shopify. Carry that choice over to Salesforce, so nobody emails a customer who doesn't want it.

Off the shelf or custom

Not always. If an existing integration for Salesforce and Shopify does exactly what you need, we'll tell you.

What already exists

Salesforce has two building blocks of its own. MuleSoft, part of Salesforce, has a Shopify connector for those already using MuleSoft; it uses Shopify's REST Admin API, which Shopify has called legacy since October 2024. Data 360 has a Shopify connector, still in beta, that brings store data into Data 360. That's different from a sync with your accounts and opportunities.

There are also third-party apps on AppExchange and in the Shopify App Store, which mainly copy customers and orders to Salesforce. Before you choose, check whether such an app can handle your setup: person accounts, custom fields, required fields and multiple stores.

When you need custom work
  • You work with business customers and want to push accounts, contacts and pricing agreements from Salesforce into Shopify.
  • Your Salesforce setup has required fields, validation rules or flows that a standard app gets stuck on.
  • Orders need to go into Salesforce as orders with line items, linked to the right opportunity or contract.
  • You have several Shopify stores, for example one per country, that need to feed into one Salesforce org.
  • The ERP leads on stock and invoices, and needs to be part of the same flow.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Customer view for the account manager

For each account, AI summarises what's been ordered online, what stood out and which products are dropping off, and saves it as a note in Salesforce. If you have Agentforce, it uses this data in its account summary too. What the account manager does with it is up to them.

Preparing service requests

A question about an order comes in as a case. AI links the order number to the right order, summarises the question and suggests a reply. Returns and refunds are approved by an employee.

Spotting discrepancies

AI can spot that a business customer paid a different price online than was agreed in Salesforce, and turn it into a task. A person works out what went wrong and corrects it.

What to watch

Which system leads on what

Usually Shopify leads on orders and payments, and Salesforce on accounts, contacts and pricing agreements. Record that per field. Otherwise a customer changes their address in the store and the integration puts the old value from Salesforce back the next day.

Accounts or person accounts

Salesforce thinks in companies with contacts, Shopify in customers. For consumers you can switch on person accounts, but that can't be reversed. Try it in a sandbox first.

API limits in Salesforce

A busy sales day produces a lot of orders, and every order costs API requests in Salesforce. You share that daily limit with all your other integrations. Bundle where you can, with composite requests or the Bulk API.

Webhooks aren't watertight

Shopify doesn't guarantee the order of webhooks, and a notification can arrive twice or not at all. Check the webhook ID, sort by timestamp and compare Shopify and Salesforce with each other periodically.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Customers, Orders, Business accounts, Pricing agreements, Marketing consent.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Which system leads on what, Accounts or person accounts, API limits in Salesforce, Webhooks aren't watertight.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Frequently asked questions

Does Salesforce have its own integration with Shopify?

Salesforce has building blocks: a Shopify connector in MuleSoft and a Shopify connector in Data 360, which is still in beta. Neither is a ready-made sync of customers and orders to Sales Cloud. For that, you choose a third-party app or a custom integration.

Should Shopify customers be leads, contacts or person accounts in Salesforce?

That depends on your customers. Business buyers fit an account with contacts. Consumers are a better fit for person accounts, but once switched on you can't switch them off. Only use a lead for someone who isn't a customer yet, such as a sign-up without an order.

How many API requests does a Shopify integration use in Salesforce?

That depends on the number of orders and how you write them. Writing an order with its line items separately costs several requests, and they count towards your whole org's daily limit. Composite requests or the Bulk API keep that down.

Can Salesforce send prices to Shopify?

Yes, with a custom integration. Pricing agreements from Salesforce can go to a catalogue with a price list in Shopify, so a business customer sees their own prices online. Let one system manage prices, or nobody will know which price applies.

Can YTC connect Salesforce and Shopify if no app fits?

Yes. We can connect any system, even when there's no standard integration. For Salesforce and Shopify, it starts with deciding which system leads on which data, and how you record customers in Salesforce.
