INTEGRATIONSEXACT ONLINE + CLAUDE

Connect Exact Online to Claude

With a custom connector, Claude works with your own systems, including Exact Online. You can then ask Claude to analyse your outstanding items or explain your costs, with real figures from your books. You handle security in the connector: what Claude may read, and that it never posts anything itself.

The situation

Claude is often used for analysis and writing: drafting a monthly commentary, investigating an anomaly, an email to a customer about late payment. For that, Claude needs figures. Without an integration, someone pastes an export from Exact into the conversation, with every column, including the ones that don't belong there.

With a custom connector, Claude works through a remote MCP server that you manage. That server talks to the Exact API and gives Claude only what a tool returns. That's easier to control than an export: you know which fields go across and you can log every call.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01Outstanding items and ageingExact Online → Claudewhen a user asks for them

The connector reads the outstanding items from Exact and returns, per customer, the amount, due date and how long it has been outstanding. Claude turns that into an overview or a draft email.

  2. 02Totals per general ledger accountExact Online → Claudefor a monthly or quarterly analysis

The connector returns totals per account and period. Claude compares periods and writes down what stands out.

  3. 03Documents attached to an entryExact Online → Claudeon request, if that tool is enabled

A tool fetches the PDF of a purchase invoice, so Claude can explain where an amount comes from. Only enable this if it's needed: invoices often contain personal data.

  4. 04Proposed general journal entryClaude → Exact Onlineonly after an employee approves

Claude can propose a correction. The connector puts it in its own approval list, and only after approval does the integration create the entry in Exact. A general journal entry can't be changed through the API, only deleted.

Off the shelf or custom

Not always. If an existing integration for Exact Online and Claude does exactly what you need, we'll tell you.

What already exists

There are MCP servers for Exact Online from other vendors that you can add as a custom connector in Claude. Anthropic hasn't verified such servers and advises connecting only servers from organisations you trust. Your books then run through their server, so you need a data processing agreement with them too.

On Team and Enterprise, only an Owner adds a custom connector. Each user then connects individually, so Claude can only do what that user is allowed to do.

When you need custom work
  • You want to decide per tool which fields Claude sees, and always leave out BSN, bank details and notes.
  • Your MCP server needs to sit behind a firewall that only lets Anthropic's IP addresses through.
  • You want Claude to make proposals only, with approval in your own environment.
  • You want one middleware layer for Claude and other AI assistants, with the same rules.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Monthly commentary with real figures

Claude fetches the totals for this month and last, finds the biggest differences and writes a first draft of the commentary. The financial controller adds to it and signs off.

Email about late payment

Claude reads a customer's outstanding items and writes a draft email with the right invoice numbers and amounts. An employee reviews and sends it. The formal reminder in Exact remains a task for finance.

Explaining a purchase invoice

Someone asks why a supplier cost more this quarter. Claude puts the invoices side by side and names the lines that differ. Claude writes the explanation and posts nothing.

What to watch

Connection from Anthropic's cloud

Claude connects to your MCP server from Anthropic's infrastructure, not from the user's computer, also in Claude Desktop. So your server must be reachable over the internet. Local MCP servers in Claude Desktop are a separate mechanism and don't work in claude.ai.

Write tools and Research

In Research, Claude can call tools from your connectors without asking for permission each time. Anthropic therefore advises switching off write tools. So don't give an Exact connector any tools that post entries, and never choose 'Allow always' for a tool that changes something.

Business plan

For commercial products, such as Claude Team, Enterprise and the API, Anthropic doesn't use your inputs and outputs for training by default. The data processing addendum with standard contractual clauses is part of the commercial terms. Free, Pro and Max fall under the consumer terms; don't use those for your company's books.

Where the data is stored

Anthropic stores data in the United States and may route traffic through countries in the US, Europe, Asia and Australia. Include that in your records of processing activities, and don't let the connector pass on BSN numbers or other sensitive fields.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Outstanding items and ageing, Totals per general ledger account, Documents attached to an entry, Proposed general journal entry.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Connection from Anthropic's cloud, Write tools and Research, Business plan, Where the data is stored.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Frequently asked questions

Can Claude connect to Exact Online?

Yes, through a custom connector: a remote MCP server that talks to the Exact API. That server decides which data Claude can request. Custom connectors work in Claude, Cowork and Claude Desktop.

Which Claude plan do I need?

Custom connectors are available on Free (one at most), Pro, Max, Team and Enterprise. For your company's books, Team or Enterprise is the obvious choice, because the commercial terms apply there and an Owner manages the connector centrally.

Does Claude see all my books?

No, only what the tools on your MCP server return. If you build that server yourself, you choose per tool which fields go across. A tool for outstanding items per customer doesn't need to include bank details or BSN numbers.

Can Claude also post entries in Exact?

An MCP server can have tools that create or change data, and in a normal conversation Claude then asks for permission. For accounting we advise against it. Let Claude make proposals that an employee approves in your own environment, and give the connector read access only.

Does Anthropic use my data to train Claude?

Not by default for commercial products such as Claude Team, Enterprise and the API. That changes if you opt in yourself, for example by giving feedback with the thumbs button; Team and Enterprise admins can switch that button off. Raw content from connectors isn't included in such a feedback report, unless you pasted it into the conversation.

Can our MCP server sit behind a firewall?

Yes, if the firewall lets Anthropic's IP addresses through, because that's where the connection comes from. It can stay closed to other traffic. The server itself talks to Exact through the regular API, with OAuth 2.0.
