Exact Online and Loket integration

After every payroll run in Loket, the journal entry belongs in Exact Online. Loket has its own integration for this, which the accounting or payroll firm activates. Most questions are about what comes next: general ledger, cost centres and corrections that fall in a different month.

The situation

With Loket, payroll is often run by an accounting or payroll firm, while the employer or another bookkeeper works in Exact Online. So the journal entry doesn't just move from system to system, but from one team to another. Who closes which period and who handles corrections matters as much here as the technology.

Loket processes retroactive corrections in the next payroll run. A pay rise from February that's recorded in June produces results for February through June in the June run. In Exact, you want those payroll costs in the right periods, even if February is already closed.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01Payroll journal entryLoket.nl → Exact Onlineafter a payroll run is approved

Loket creates a file in the format Exact expects, which is read into Exact Online. The firm activates the integration per employer; Loket charges nothing extra for it.

  2. 02Journal run through the APILoket.nl → Exact Onlinewhen you want more control

Through Loket's API you fetch journal runs yourself and post them as general journal entries in Exact. That lets you decide how corrections are spread over periods.

  3. 03General ledger accounts and cost centresExact Online → Loket.nlat setup and on every change

The pay components in Loket must point to accounts and cost centres that exist in Exact. Agree that Exact is the source for those codes.

  4. 04Departments per employmentLoket.nl → Exact Onlinewith every journal entry

The department per employment decides which cost centre the payroll costs land on. If that's wrong in Loket, the split in Exact is wrong too.

Off the shelf or custom

Not always. If an existing integration for Exact Online and Loket.nl does exactly what you need, we'll tell you.

What already exists

Loket has its own integration with Exact Online, and Loket.nl is in the Exact Online App Store, made by Loket.nl. According to Loket, the integration creates a file in the format Exact expects, which is read into Exact Online. The accounting or payroll firm activates it for the employer, and Loket charges nothing extra for it.

If you only want the journal entry in Exact, that's enough. You need an integration of your own if you want to split payroll costs further, for example to projects based on hours, or if you want a check before the entry reaches Exact.

When you need custom work
  • You want to split payroll costs per project or customer based on hours from another system.
  • You want to spread retroactive corrections differently from the run in which they arise.
  • You want a check on the journal entry before anyone closes the period in Exact.
  • You have several employers in Loket that post to different Exact administrations.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Journal entry next to previous months

After every run, an AI step compares the journal entry with previous months: a cost centre that's suddenly empty, a pay component on a new account. The payroll administrator or controller reviews; corrections go through Loket.

Explaining corrections

If a run contains results for earlier months, AI lists which departments and components are affected, without amounts per person. That way the bookkeeper understands the difference without access to Loket.

What to watch

Corrections in a closed period

Because Loket processes corrections in the next run, a journal entry can contain postings for months that are already closed in Exact. Agree in advance how to handle them: in the current period, or after reopening.

Level of detail

A journal entry per employee shows in Exact what everyone earns, to everyone who can see the books. Choose a split per cost centre if more people see Exact than the payroll team.

Two firms, one agreement

If the payroll firm activates the integration and someone else keeps the books, agree who fixes errors, who creates new cost centres and in which system first.

General journal entries can't be edited

If you post the journal run yourself through the API as a general journal entry, you can create and delete it in Exact, but not change it. A correction means deleting and reposting, or adding a new entry next to it.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Payroll journal entry, Journal run through the API, General ledger accounts and cost centres, Departments per employment.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Corrections in a closed period, Level of detail, Two firms, one agreement, General journal entries can't be edited.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

Who you'll talk to

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Frequently asked questions

Does Loket have an integration with Exact Online?

Yes. Loket creates a file in the format Exact expects, which is read into Exact Online. The accounting or payroll firm activates the integration for the employer. Loket charges nothing extra for it.

Who activates the integration between Loket and Exact?

The accounting or payroll firm that runs payroll in Loket, per employer. You do still pay your own Exact Online subscription.

How do retroactive corrections reach Exact?

Loket processes them in the next run, which then contains results for the earlier months. Agree with your bookkeeper how those are posted in Exact, especially when a period is already closed.

Can I see payroll costs from Loket per project in Exact?

For that you need the hours per project next to the journal entry. An additional integration splits the payroll costs per cost centre in proportion to those hours and posts it as a general journal entry in Exact.

Can I fetch the journal entry myself through the API?

Yes, if the employer has the journaliseren module in Loket; the API only works with that newest journal module. You fetch the journal run and post it through Exact's API as a general journal entry.
