INTEGRATIONSEXACT ONLINE + NMBRS

Connect Exact Online to Nmbrs

After every payroll run, Nmbrs, the Dutch payroll platform, creates a journal entry. Without an integration, someone downloads it and imports it into Exact Online, every period again. Nmbrs can send the journal entry to Exact itself. The real question is how you set up the general ledger and cost centres, so the labour costs actually tell you something.

The situation

For the books, payroll is one large entry per period: gross wages, employer costs, pension, travel allowances, payroll taxes to be paid and the net payout. It comes from Nmbrs, where payroll and the payroll tax return are handled. In Exact, the entry has to land on the right general ledger accounts, ideally split across departments or cost centres.

This is sensitive data. A journal entry per employee shows in Exact what everyone earns, to anyone allowed to view the books. So designing this integration is also a privacy question: at what level of detail do labour costs go into Exact?

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01Payroll journal entryNmbrs → Exact Onlineafter a payroll run is completed

Nmbrs sends the journal entry directly to the administration through the Exact web services, for several companies too. Downloading and importing are no longer needed.

  2. 02Corrections to earlier periodsNmbrs → Exact Onlineon a correction in Nmbrs

Corrections are automatically split per period, so labour costs in Exact fall in the month they belong to.

  3. 03Split by cost centre and cost typeNmbrs → Exact Onlinewith every journal entry

If you use cost centres or cost types in Nmbrs, the journal entry is split along them. In Exact you then see labour costs per department or team.

  4. 04Chart of accounts and cost centresExact Online → Nmbrsat set-up and with every change

You manage general ledger accounts and cost centres in Exact. The pay components in Nmbrs must point to accounts and codes that exist in Exact.

  5. 05Labour costs per projectNmbrs → Exact Onlineper period, after the journal entry

If you want to see labour costs per project or customer, an additional integration combines labour costs per cost centre with hours per project from your time tracking, and posts the allocation as a general journal entry in Exact.

Off the shelf or custom

Not always. If an existing integration for Exact Online and Nmbrs does exactly what you need, we'll tell you.

What already exists

Nmbrs has a built-in integration with Exact Online, which you activate from Nmbrs. The journal entries of one or more companies go straight to Exact, split by period and by cost centre or cost type. Nmbrs is also listed in the Exact Online App Store.

If you only want the payroll journal entry in Exact, you don't need an extra integration. The work is in the set-up: a sound mapping from pay components to general ledger accounts, and cost centres that mean the same thing in both systems.

When you need custom work
  • You want to allocate labour costs per project or customer based on hours from another system.
  • You want to manage cost centres or departments in one place and update them automatically in the other system.
  • You want reports that show labour costs from Exact next to utilisation or revenue per team.
  • You want a check on the journal entry before a controller closes the period.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Comparing the journal entry with previous months

After every payroll run, an AI step compares the journal entry in Exact with those of previous months and flags what stands out: a cost centre that's suddenly empty, a pay component on a new account, employer costs that don't match gross wages. The payroll administrator reviews; corrections go through Nmbrs.

Labour costs per team, without salaries

An AI assistant tells managers how their team's labour costs are developing, at cost centre level from Exact. It has no access to Nmbrs and so sees no salary per person.

What to watch

Level of detail and privacy

Don't send a journal entry per employee to Exact if more people can view the books than the payroll team. A split per cost centre is enough to manage on and doesn't reveal individual salaries.

Cost centres aligned in both systems

Splitting by cost centre only works if the codes in Nmbrs and Exact match. A new department in Nmbrs without a cost centre in Exact produces an entry that doesn't land properly. Agree who creates new cost centres, and in which system first.

A fixed user for the integration

The integration works with the consent of an Exact user. Use a fixed functional account for this, not that of an employee who might leave; otherwise the integration stops as soon as that account is disabled.

Corrections after closing

Nmbrs splits corrections per period. If your bookkeeper has already closed a period in Exact, agree beforehand how corrections to that period are handled.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Payroll journal entry, Corrections to earlier periods, Split by cost centre and cost type, Chart of accounts and cost centres, Labour costs per project.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Level of detail and privacy, Cost centres aligned in both systems, A fixed user for the integration, Corrections after closing.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Frequently asked questions

Does Nmbrs have an integration with Exact Online?

Yes. Nmbrs can send the payroll journal entries of one or more companies directly to Exact Online through the Exact web services. You activate the integration from Nmbrs, after which downloading and importing are no longer needed.

Are labour costs posted per cost centre?

Yes, if you use cost centres or cost types in Nmbrs. The journal entry is then split along them automatically, and for corrections also per period. The codes do need to match in both systems.

Can I see labour costs per project in Exact?

For that you need the hours per project from your time tracking, alongside the journal entry. An additional integration allocates the labour costs per cost centre in proportion to those hours and posts it as a general journal entry in Exact.

Is it safe to put payroll data in Exact?

That depends on the level of detail and on who can view Exact. A journal entry per cost centre doesn't show individual salaries; a journal entry per employee does. Choose the level of detail based on who has access to the books.

Should Exact or Nmbrs lead for cost centres?

Assign one owner. Often that's finance in Exact, because cost centres are also used for other costs. Nmbrs then follows the codes from Exact, and a new cost centre exists in Exact first before it's used in Nmbrs.
