There are two routes from Exact Online to Power BI. With Exact Online Premium, you use the connector Exact provides itself. Without Premium, you go through the REST API, and Exact's limits shape how you set it up.

Exact Online has its own reports. But if you want revenue next to the pipeline from your CRM, or several administrations in one overview, you end up in Power BI. The question then is how the numbers get from Exact into Power BI, and how often.
The answer depends on your subscription. The Exact Online Premium connector requires an Exact Online Premium subscription, an ODBC driver, an IP address allowed in Exact, and an on-premises data gateway to refresh. Without Premium, you fetch the data through the REST API, at 60 calls per minute and 5,000 per day per administration.

With Exact Online Premium there's the Exact Online Premium connector for Power BI, made and supported by Exact. It's in preview and supports Import and DirectQuery. The Microsoft Office 365 menu in Exact has Power BI report templates you can use with it. To refresh in the Power BI service you need an on-premises data gateway, on a machine that also has the ODBC driver.
Without Premium, there's no Exact Online connector in the Power Query list. Then you need an integration on the REST API that puts the data into a database. Power BI then reads from that database.
- You don't have Exact Online Premium but still want fresh daily numbers in Power BI.
- You want to see several administrations side by side, with one chart of accounts.
- You want to combine Exact figures with your CRM, online store or time tracking.
- You don't want to maintain a gateway on a machine of your own.
AI reads, sorts and prepares a suggestion. Where it matters, a person decides.
Anomalies per administration
An AI step in the intermediate layer compares each administration's numbers with previous periods every month and flags notable shifts. The controller reviews them. Nothing changes in Exact.
Commentary for management
AI drafts a first commentary on the monthly report, with numbers from the model. The controller reads and edits it before the report goes out.
Limits when querying directly
A model that fetches all entries through the API on every refresh quickly hits 5,000 calls per administration per day, partly because regular endpoints return only 60 records per page. Fetch changes with the Sync API and let Power BI read from your own database.
Gateway and IP address
The Premium connector needs a gateway on a machine that's always on, with the ODBC driver installed, and an IP address allowed for Power BI in Exact. If that address isn't on the list, Exact refuses the connection.
Your package determines the data
Through the API, sales orders and stock positions are only available in the packages for wholesale and manufacturing. Check this before you design a report on order book or stock.
The daily maintenance window
Exact Online and the API are unavailable every day between 4:00 and 4:30 local time. Schedule nightly jobs and refreshes outside that window.
What goes where
Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: General ledger and transactions, Outstanding items, Accounts and items, Sales orders.
Fields and rules
For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: Limits when querying directly, Gateway and IP address, Your package determines the data, The daily maintenance window.
Testing with real cases
In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.
Live, with logging and monitoring
Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

Does Exact Online have an integration with Power BI?
Yes, for Exact Online Premium: the Exact Online Premium connector, made by Exact and still in preview. Without Premium, you go through Exact's REST API, usually with a database in between.
What do I need for the Exact Online Premium connector?
An Exact Online Premium subscription, ODBC Driver 18 for SQL Server, an IP address you allow for Power BI in Exact, and an on-premises data gateway to refresh in the Power BI service.
Can Power BI query the Exact API directly?
Then you soon run into Exact's limits: 60 calls per minute and 5,000 per day per administration, without parallel calls. An integration that only fetches changes and stores them in a database fits within them much better.
How often can I refresh Exact figures in Power BI?
Power BI schedules up to eight refreshes per day on shared capacity, and up to 48 on Premium, Premium Per User or Fabric. With an intermediate layer, the integration decides how fresh the database is, within Exact's limits.
Can I see several Exact administrations in one report?
Yes. Every API call goes to one administration, so the integration fetches them one after another and combines them in the database, mapped to one chart of accounts. Power BI then shows them side by side.
