HubSpot KVK integration
Companies end up in HubSpot from forms, imports and inboxes, with names typed however people type them. An integration with the KVK, the Dutch Chamber of Commerce, adds the KVK number, the registered name and the address to each company. That makes deduplication easier and gives finance a customer record that's correct later on.
- Name and town as a search goes to KVK
- KVK number and branch number comes from KVK
- Name, address and SBI code comes from KVK
- No unsolicited advertising comes from KVK
- Changes in the Business Register comes from KVK
Built for clients including Tata Steel, M&G Investments, Digistore24, Toppers in Concert, Bar-le-Duc and Loogman
HubSpot recognises duplicate companies by their website domain. That works for companies with their own domain, but not for a freelancer with a gmail address, and HubSpot doesn't deduplicate companies created through the API by domain. After a few years, the same customers are in there two or three times, spelt slightly differently.
The KVK number is a better key. It belongs to the business, doesn't change with a new trade name, and it's what your accounting will ask for later. An integration with the KVK records that number the moment a company is created in HubSpot, and keeps the data up to date afterwards.
For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.
- 01Name and town as a searchHubSpot → KVKwhen a new company is created
The integration sends the name and town of the new company to the KVK's Zoeken API. Zoeken is free and returns the KVK number and branch number. Contacts and email addresses aren't sent.
- 02KVK number and branch numberKVK → HubSpotonce the right registration is chosen
Immediately when there's one clear match, after an employee chooses when there are several. The numbers go into dedicated properties on the company.
- 03Name, address and SBI codeKVK → HubSpotstraight after
Trade names, address and SBI activities come from the Basisprofiel. Only overwrite empty fields, or put the KVK values in dedicated properties next to what sales entered.
- 04No unsolicited advertisingKVK → HubSpoton every refresh
If a business doesn't want unsolicited advertising by post or sales calls, the Basisprofiel says so. In HubSpot it becomes a property your marketing lists filter on.
- 05Changes in the Business RegisterKVK → HubSpoton a Mutatieservice signal
If a customer moves or changes name, the integration fetches the new Basisprofiel and updates the company in HubSpot.
Not always. If an existing integration for HubSpot and KVK does exactly what you need, we'll tell you.
The HubSpot App Marketplace lists third-party apps that search the Business Register from a company in HubSpot. Leapware's Business Essentials puts trade name, KVK number, SBI code and address into dedicated properties, only fills existing fields when they're empty, and has workflow actions to link and update companies in bulk. It comes with its own subscription.
Such an app is enough if you want to enrich companies in HubSpot. You need your own integration if the KVK number must be chosen in your web form already, if it has to go through to your accounting, or if you want to act on Mutatieservice signals.
- Visitors pick their company from the Business Register in your form, so the KVK number is right in HubSpot from the first submission.
- You want to link and deduplicate existing companies in HubSpot on KVK number, once.
- You want to route leads automatically by SBI code or legal form.
- The KVK number has to go to your accounting or ERP when a deal is won.
AI reads, sorts and prepares a suggestion. Where it matters, a person decides.
Matching when the name doesn't fit
A lead writes 'Jansen Bakery' while the registration has a different name. AI compares the town, website and trade names of the candidates and suggests one, with its reasoning. An employee confirms; only then does the KVK number go into HubSpot.
Segments by activity
AI translates SBI codes into the industries your team uses, so lists and reports match how sales thinks. The SBI code itself stays, so you can check the grouping.
KVK number as a unique property
Create a dedicated property for the KVK number, with unique values. HubSpot supports unique values when creating records manually and in imports, and in an import you can use such a property as the key instead of the domain.
Branch or business
One KVK number can have several branches. Decide whether a company in HubSpot is a business or a branch. Mix the two and you get duplicates again, this time with the same KVK number.
Cost per request
Zoeken is free, a Basisprofiel costs €0.02. Don't let a workflow fetch the Basisprofiel on every change to a company; fetch it on creation and on a Mutatieservice signal.
What sales entered
Don't overwrite blindly. An account manager sometimes uses the name a customer is known by. Put the KVK data in dedicated properties, or only fill empty fields.
What goes where
Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Name and town as a search, KVK number and branch number, Name, address and SBI code, No unsolicited advertising, Changes in the Business Register.
Fields and rules
For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: KVK number as a unique property, Branch or business, Cost per request, What sales entered.
Testing with real cases
In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.
Live, with logging and monitoring
Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Can HubSpot fetch KVK data automatically?
Not on its own. You need an app from the HubSpot App Marketplace, or your own integration on the KVK's APIs. Both add the KVK number, name, address and SBI code to the company.
How do I prevent duplicate companies in HubSpot with the KVK?
Store the KVK number in a property with unique values and link new companies on it. HubSpot deduplicates companies by domain, but not when they're created through the API. The KVK number also works for companies without a website of their own.
What does a HubSpot KVK integration cost in KVK fees?
With your own integration, the KVK charges €6.40 per month per API key and €0.02 per Basisprofiel request. Zoeken is free. Those are the October 2026 rates. With a marketplace app, you pay that app's subscription instead.
Can visitors pick their company in a form that goes to HubSpot?
Yes, with your own form that calls the KVK's Zoeken API as the visitor types and sends the submission with the KVK number to HubSpot. Alternatively, a step right after submission looks up the number, with an employee choosing in unclear cases.
Does the integration track changes in the Business Register?
With the KVK's Mutatieservice it does. It provides signals on changes, which the integration fetches, after which it updates the company in HubSpot. The Mutatieservice costs €1,279 per year on top of the API subscription.
