Connect Claude to Microsoft 365

Preparing a meeting with the emails, the Teams chat and the latest document to hand, without searching yourself. With Anthropic's Microsoft 365 connector, Claude searches Outlook, Teams, SharePoint and OneDrive within the user's permissions. Here's what it can do, what the admin does and which other routes exist.

The situation

In most organisations, knowledge is spread across mailboxes, Teams channels and SharePoint sites. Answering a customer question or preparing a meeting means searching in three places. Claude searches those sources in one go and lists what matters.

By default, the connector only reads. An admin can switch on write tools, which let Claude send email, manage meetings, create and update files and post messages in Teams. That requires additional consent in Microsoft Entra.

What moves between them

For each item: which direction it goes, when, and why. This is the starting point; in the first conversation we fit it to your situation.

  1. 01Email and calendarMicrosoft 365 → ClaudeBefore a meeting or when the inbox is full

Claude searches email by sender and date, including shared mailboxes you have delegated access to, and checks calendars for availability. The online archive is out of scope.

  2. 02Documents from SharePoint and OneDriveMicrosoft 365 → ClaudeFor a quote or report

Claude reads Word, Excel, PowerPoint, PDF and text files, including older formats such as .doc and .xls. It can't read OneNote.

  3. 03Teams chats and transcriptsMicrosoft 365 → ClaudeAfter a meeting

Chats, channel messages and meeting transcripts. From these, Claude lists the decisions and action points.

  4. 04Draft email or replyClaude → Microsoft 365With write tools, once you approve

Claude creates a draft or reply in Outlook. Sending and forwarding can't be set to 'always allow', and email Claude sends gets a header saying an agent sent it.

  5. 05Meetings, files and Teams messagesClaude → Microsoft 365When scheduling or updating

Create or move a meeting, create or update a file in SharePoint, post a message in Teams. Attachments can't be sent with the write tools.

Off the shelf or custom

Not always. If an existing integration for Microsoft 365 and Claude does exactly what you need, we'll tell you.

What already exists

The Microsoft 365 connector is built by Anthropic and works on all Claude plans, but only with a work account in a Microsoft Entra tenant. A Global Administrator grants consent once for the whole tenant; on Team and Enterprise, a Claude owner also enables the connector for the organisation. After that, each employee connects their own account.

There are two other routes. With Claude for Excel, PowerPoint and Word (Outlook is in beta), Claude works inside the Office apps themselves, and drafts wait until you click send. And Microsoft offers Claude models in Microsoft Copilot and Copilot Studio, with Anthropic as a Microsoft subprocessor. Those models fall outside the EU Data Boundary and are off by default in the EU.

When you need custom work
  • Claude needs to combine Microsoft 365 with other systems, such as your CRM or ERP, in a single answer or action.
  • You want to limit the search scope to certain sites or folders; the connector searches all of SharePoint within the user's permissions.
  • Your access policy in Entra is based on location or network and you don't want to make an exception for it.
  • You're building your own application on the Claude API, with Microsoft Graph and your own approval steps.
AI in between

AI reads, sorts and prepares a suggestion. Where it matters, a person decides.

Only fetching when someone asks

Claude fetches data during a question and doesn't keep a copy of files. The results of tool calls do remain part of the saved conversation, so sensitive content will then also be in the chat.

Sending stays a human click

For sending email, creating meetings and Teams messages, Claude always asks for confirmation. Also block actions that remove things, such as moving messages to the bin or deleting files, unless you really need them.

What to watch

SharePoint content shared too widely

Claude sees what the user can see, including files that were once shared too broadly. Review sensitive sites before you switch the connector on, because the connector can't be limited to particular sites.

Conditional Access

Requests come from Anthropic's IP range, not from the employee's device. Policies based on location or sign-in frequency block the connector for everyone. MFA, groups and device compliance do work, with caveats that Anthropic describes.

Access per group

In Entra, switch on 'assignment required' for both Claude apps and add only the groups allowed to use the connector. You can also revoke individual permissions there, such as reading email.

Which terms apply

Through the connector, Anthropic's terms apply, and Anthropic stores data in the US. Through Microsoft Copilot, Microsoft's DPA applies, but the Claude models fall outside the EU Data Boundary. Record which route you choose and why.

How we build an integration

  1. What goes where

Which data moves, in which direction, and which system wins when two values differ. That is written down before anything gets built. For this integration, that means: Email and calendar, Documents from SharePoint and OneDrive, Teams chats and transcripts, Draft email or reply, Meetings, files and Teams messages.

  2. Fields and rules

For every field, how it translates between the systems: statuses, VAT codes, general ledger accounts, item numbers. And what happens with a duplicate or a missing value. For this integration, that means: SharePoint content shared too widely, Conditional Access, Access per group, Which terms apply.

  3. Testing with real cases

In a sandbox or test administration, with the exceptions you actually run into: credit notes, partial deliveries, changed customer details.

  4. Live, with logging and monitoring

Every sync is logged, and when something fails, someone gets an alert. If a vendor changes its API, we update the integration.

No account manager. You talk to someone who builds integrations themselves, and who will tell you when a standard integration is enough.

Frequently asked questions

What does our Microsoft admin need to do?

A Global Administrator in Microsoft Entra grants consent once for the tenant, either through Claude or manually in Entra. Write tools need separate consent. On Team and Enterprise, a Claude owner also enables the connector in the organisation settings.

Can Claude send email or post in Teams on my behalf?

Only if the admin switches on write tools. Claude can then send email, create drafts, manage meetings, update files and post messages in Teams, always within your permissions. For sending and Teams messages, Claude asks for confirmation every time.

Can Claude look in a colleague's mailbox?

Only in shared mailboxes you already have delegated access to in Microsoft 365, and then read-only. Other people's private email and files stay out of reach, because the connector works with delegated permissions.

Does it work with a personal Outlook.com account?

No. The connector requires a Microsoft 365 account in an Entra tenant with a business subscription. Addresses such as @outlook.com or @hotmail.com can't connect.

How is this different from Claude in Microsoft Copilot?

With the connector, you work in Claude and Claude fetches data from Microsoft 365, under Anthropic's terms. In Copilot, you work in Microsoft software and Anthropic is a Microsoft subprocessor, under Microsoft's terms. In the EU, the Claude models in Copilot are off by default; an admin has to switch them on deliberately.
